Position Summary

 The Payroll Supervisor is responsible for overseeing the company’s payroll process, ensuring employees are paid accurately and on time while maintaining compliance with applicable federal, state, and local regulations. This role supervises payroll activities, resolves payroll issues, and partners with HR, Finance, and department leaders.

Key Responsibilities & Expected Results:

  • Oversee the weekly/biweekly payroll process, including timekeeping, earnings, deductions, adjustments, and final payroll submission.
  • Review payroll for accuracy and compliance and ensure all payroll deadlines are met.
  • Supervise and support payroll staff, assigning work and providing training and guidance.
  • Manage payroll records, employee changes, deductions, garnishments, taxes, and other payroll-related transactions.
  • Partner with HR and managers on new hires, terminations, transfers, pay changes, bonuses, leave, and other employee changes.
  • Research and resolve employee payroll questions and discrepancies.
  • Ensure compliance with applicable federal, state, and local payroll laws and regulations and set up new state tax jurisdictions as needed.
  • Prepare payroll reports and assist Finance with payroll-related reconciliations, audits, and reporting.
  • Maintain accurate payroll and employee records while protecting confidential information.
  • Identify opportunities to improve payroll processes, controls, and efficiency.
  • Work with payroll/HRIS vendors and troubleshoot system issues.
  • Support year-end payroll activities, including W-2s, tax reporting, and audits.

Key Performance Indicators (KPI’s) 

  • Track and reduce payroll errors, adjustments, and employee pay discrepancies
  • ≥99% accuracy with minimal payroll corrections or adjustments.
  • 100% completion of required payroll tax filings, reporting, and compliance requirements by applicable deadlines.
  • Timely resolution of employee payroll questions and issues, with a focus on first-time resolution.

Qualifications and Skills 

Education and Experience

  • 3+ years of payroll experience, preferably with supervisory or lead experience.
  • Strong understanding of payroll processes and applicable regulations.
  • Experience with payroll and HRIS systems; ADP Workforce Now experience preferred.
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple deadlines and confidential information.
  • Strong communication and problem-solving skills.

Technical Skills

  • Experience with ADP Payroll
  • Strong Excel and analytical skills.
