We’re seeking a detail-oriented, reliable Payroll Specialist to join our team part-time. Reporting to the Human Resources (HR) Manager this hybrid role will be responsible for ensuring accurate and timely processing of payroll, maintaining compliance with federal, state, and local regulations, and supporting employees with payroll-related inquiries. You’ll also collaborate with HR and Finance to support process improvements and maintain high standards of accuracy and confidentiality.
Key Responsibilities
- Process bi-weekly payroll accurately and on time, ensuring compliance with federal, state, and local regulations
- Review timecards, overtime, PTO, commissions, bonuses, and retro adjustments before each run; reconcile pre- and post-payroll registers
- Handle off-cycle payments, final paychecks (meeting each state's final-pay deadline), and payroll corrections
- Maintain payroll records and manage wage garnishments, child support orders, and tax levies in accordance with legal requirements
- Set up and maintain state and local withholding and unemployment accounts when employees move or new states are added
- Monitor federal, state, and local wage-and-hour and payroll tax changes (minimum wage, overtime rules, paid leave, local taxes) and update configurations
- Support quarterly and year-end filings, W-2 and W-2c processing, and responses to agency notices
- Reconcile benefit and 401(k) deductions against carrier and plan-administrator invoices and remittances
- Respond to employee inquiries regarding payroll, deductions, and timekeeping with accuracy and professionalism
- Collaborate with HR and Finance teams to ensure accurate payroll reporting, reconciliation, and cross-functional support
- Support internal and external audits by providing timely and accurate payroll documentation.
- Required to perform other duties as requested, directed, or assigned
Requirements and Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred
- 3+ years of payroll processing experience in a multi-state environment
- Strong knowledge of payroll practices, wage and hour laws, and tax regulations
- Experience with payroll software (Rippling strongly preferred, ADP, Paylocity, Workday, or similar)
- Proficient in Microsoft Excel and other Microsoft Office applications
- High level of accuracy, attention to detail, and confidentiality
- Excellent communication and problem-solving skills
- Ability to work independently, manage priorities, and meet deadlines

Compensation Range: $25/hr - $30/hr
