Location: Warsaw (hybrid)
The Payroll Specialist is responsible for delivering accurate, timely, and compliant payroll services across the assigned region. This role ensures that all payroll inputs, calculations, payments, and post‑payroll activities are executed with precision while maintaining strong internal controls. The Payroll Specialist collaborates closely with HR, Finance, and external partners to ensure compliance with local tax regulations, social security requirements, and organizational policies.
Key Responsibilities
Payroll Processing & Oversight
- Deliver payroll and related activities across the specified region, from input preparation to payments and post‑payroll tasks.
- Oversee payroll accuracy and ensure effective controls are in place to monitor payments and meet strict deadlines.
- Ensure all payments to employees, authorities, and third parties are processed correctly and on time.
- Maintain accurate payroll records and documentation in designated shared folders.
Tax & Compliance
- Monitor and ensure timely payment of all taxes, social security contributions, and other country‑specific statutory dues.
- Support monthly, quarterly, and annual tax declarations, ensuring deadlines are met and verifying accuracy of external payroll providers.
- Lead the creation, update, and maintenance of procedures and checklists for tax‑related processes in alignment with the Payroll Manager and Process Leader.
- Track all due activities and payments using checklists to ensure proper and timely execution.
- Participate in tax‑related audits and provide required documentation and support.
Stakeholder Support & Collaboration
- Serve as a point of guidance for the team on tax‑related matters and act as a contact for external stakeholders together with the Payroll Manager.
- Collaborate with HR and Finance teams to ensure accurate employee data and alignment with internal processes.
- Address payroll‑related inquiries and resolve discrepancies by analyzing and correcting data.
Process Improvement & Workload Management
- Proactively identify and implement process improvements to enhance payroll accuracy, efficiency, and compliance.
- Manage own workload effectively to meet deadlines in cooperation with the team and Payroll Manager.
- Ensure continuous compliance with payroll legislation, internal policies, and best practices.
Requirements & Qualifications
Education & Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, HR, or related field preferred.
- Experience in payroll processing or payroll administration preferred.
- Experience working with payroll systems and understanding of payroll regulations preferred
Skills & Competencies
- Strong knowledge of payroll best practices.
- High attention to detail, accuracy, and ability to handle confidential information.
- Proficiency in MS Office and payroll software.
- Strong analytical and problem‑solving skills.
- Excellent communication skills and ability to work collaboratively across teams.
- Ability to manage multiple deadlines and work effectively under pressure
- Nice to have Turkish, Spanish. French, Italian or Dutch language
