Job Summary
Pernod Ricard Benelux is seeking a experienced Payroll & Benefits Specialist Benelux
to join our HR team in Brussels. In this large role, you will be responsible for the accurate and timely payroll processing for 100 employees in Belgium and the Netherlands, in close collaboration with our external payroll partners.
You will also manage the Benelux car fleet, people insurances, employee contracts and support employees with a wide range of HR and payroll‑related questions, and take ownership of more complex administrative cases, such as expat and international mobility files.
A strong affinity for data, accuracy, and analytical work is essential, as this role involves interpreting payroll data, ensuring data quality, and contributing to continuous process improvement.
Key Responsibilities
- Payroll Processing (Belgium & Netherlands)
- Manage the full monthly payroll cycle for Belgium and the Netherlands in collaboration with SD Worx and other external partners.
- Ensure full compliance with Belgian and Dutch payroll legislation, social security rules, and fiscal requirements.
- Respond to employee and manager inquiries regarding payroll, benefits, taxation, absences, and time registration.
- Maintain and update payroll and employee records, ensuring confidentiality and accuracy.
- Conduct payroll controls, investigate anomalies, and coordinate corrections with Finance and payroll providers.
- Car Fleet Management
- Oversee daily management of the Benelux company car fleet, including new orders, deliveries, renewals, returns, damages, and supplier follow‑up.
- Act as the primary contact for leasing companies and ensure alignment with the car policy.
- Monitor costs and usage, prepare fleet reports, and propose improvements to enhance efficiency.
- Complex HR Administration & Special Cases
- Coordinate expat and international mobility cases, including contracts, allowances, taxation, and administrative follow‑up in collaboration with EY and other partners.
- Support the administration of employee benefits, insurance, attestations, and HR‑related documentation.
- Handle non‑standard or complex employee cases in close collaboration with HR Business Partner.
- Employee Support & HR Operations
- Act as a trusted point of contact for employees regarding payroll, benefits, policies, and HR processes.
- Ensure high‑quality HR service delivery by improving and streamlining administrative procedures.
- Contribute to updates of internal guidelines, procedures, and employee communication.
- Data, Reporting & Process Improvement
- Prepare and analyse payroll and HR reports, budgets, dashboards, and KPIs.
- Ensure data consistency and accuracy in HR systems.
- Execute month-end financial closing activities related to HR reporting, including the preparation of variance analyses between Actuals and Forecasts.
- Assist in creating quarterly rolling forecasts in alignment with Pernod Ricard Group’s financial planning, in collaboration with the head of HR, local HR Business Partner, and Finance team.
- Identify trends, discrepancies, and opportunities to improve HR and payroll processes
- Support audits and provide data for internal or external reporting as required.
Qualifications
- Bachelor’s degree in human resources, Payroll, Accounting, Business Administration, or equivalent work experience.
- Minimum of 5 years of experience in payroll administration for Belgium; Dutch payroll experience is a strong asset.
- Strong understanding of Belgian payroll legislation; willingness to build knowledge of Dutch regulations if not yet mastered (training foreseen).
- High affinity with data and strong analytical skills.
- Proficiency with payroll systems, HRIS tools, and Microsoft Office.
- Fluent in Dutch and English; French is an advantage.
- Strong attention to detail, accuracy, and confidentiality.
- Excellent communication skills and a customer‑oriented approach.
- Ability to prioritize, work independently, and handle multiple deadlines.
