The Payroll Specialist is responsible for processing regular and special payrolls by gathering and entering payroll data, auditing payroll transactions, maintaining payroll records, and ensuring timely and accurate payroll processing for a multi-state workforce. This role ensures compliance with federal, state, and local payroll regulations, supports employee payroll inquiries, maintains payroll and HRIS data integrity, administers payroll-related programs, and partners with internal departments to ensure accurate reporting and recordkeeping. The Payroll Specialist also supports payroll system enhancements, process improvements, and payroll-related projects, including system implementations and integrations.

Responsibilities:

  • Process and transmit multi-state payrolls on established payroll schedules.
  • Process regular payrolls, quarterly commission payrolls, quarterly bonus payrolls, and paid time off payouts.
  • Audit payroll information for completeness and accuracy and take corrective action as needed.
  • Calculate retroactive pay, partial pay, overpayments, and other payroll adjustments.
  • Receive, review, and process employee timesheets and payroll change information.
  • Prepare and process special payment files for commissions, bonuses, and other compensation programs.
  • Maintain payroll reports and supporting payroll documentation.
  • Process and administer 401(k) contributions and related changes.
  • Manage garnishment orders, levies, and other court-ordered payroll deductions.
  • Maintain employee payroll and HRIS records, including compensation and status updates.
  • Coordinate payroll-related communications and employee data updates with internal departments.
  • Support workers' compensation payroll reporting requirements.
  • Respond to unemployment requests, payroll audits, compliance inquiries, and employee payroll questions.
  • Prepare payroll reports for management, accounting, compliance, and audit purposes.
  • Maintain current knowledge of payroll regulations, tax requirements, and payroll system functionality.
  • Support payroll process improvements, system upgrades, testing activities, implementations, and integrations as assigned.
  • Perform other duties as assigned.
Qualifications

Required Experience and Skills:

  • Associate degree or equivalent combination of education and experience required.
  • Minimum three (3) years of payroll processing experience.
  • Experience processing multi-state payroll preferred.
  • Experience working with Paycom strongly preferred.
  • Experience supporting payroll system implementations, system conversions, upgrades, or process improvement initiatives preferred.
  • Experience with payroll, HRIS, timekeeping, or benefits system integrations preferred.
  • Working knowledge of payroll processes, payroll tax laws, and applicable compliance requirements.
  • Proficiency in Microsoft Excel and Microsoft Word.
  • Strong analytical, problem-solving, and organizational skills.
  • Excellent attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently and collaboratively in a fast-paced environment.
