The Role
Job Brief
We are looking to fill the position of Payroll/HR Administrator. You will act as the first point of contact for Payroll and HR-related queries from employees and external partners. Your main administrative duties include payroll, maintaining personnel records, managing HR documents (e.g., employment records and onboarding guides) and updating internal databases. Our ideal candidate must have experience with Payroll and HR procedures and have the ability to undertake various administrative tasks in a timely manner. You should be able to ensure our Payroll/HR department supports our employees while conforming to labour laws.
Purpose of the Role
HR/Payroll Administrator role is to provide timely, accurate, and confidential support in both human resources and payroll functions, contributing to a positive and compliant workplace environment. This role plays a vital part in ensuring employees are paid correctly and on time, while also supporting the broader employee experience through effective record-keeping, clear communication, and responsive HR service. By maintaining up-to-date personnel data, supporting statutory reporting, and acting as a trusted point of contact for HR and payroll queries, the HR/Payroll Administrator helps foster a culture of trust, fairness, and operational excellence across the organisation.
Your key responsibilities will include:
  • Process payroll accurately and on time using Sage Payroll, ensuring compliance with statutory requirements and company policies.
  • Organize, update, and maintain comprehensive personnel files, including employment history, contracts, performance records, and other relevant documentation as per local legislations and labour law.
  • Update and maintain internal HR databases and systems, ensuring data accuracy related to leave (annual, sick, maternity/paternity), attendance, and other employee information.
  • Draft, issue, and manage HR-related documents such as employment contracts, offer letters, onboarding materials, and policy updates.
  • Assist in reviewing, revising and rolling out the training of HR policies and procedures to ensure alignment with current labour legislation and best practices.
  • Provide timely and professional responses to employee queries regarding HR and payroll matters.
  • Prepare and submit required statutory reports including monthly EMP201 and annual EMP501, ensuring all payroll-related compliance deadlines are met.
  • Coordinate and submit all required reports to regulatory bodies, including quarterly submissions to Statistics South Africa, as well as annual BBBEE, Employment Equity (EE), and Skills Development reports where applicable.
  • Support the facilitation of disciplinary hearings, ensuring due process and accurate documentation in line with company policy and legal requirements.
  • Contribute to the planning and implementation of various HR initiatives and improvement projects as required.
What we are looking for:
We are seeking a detail-oriented and proactive HR/Payroll Administrator with a strong understanding of HR operations and payroll processes. The ideal candidate will demonstrate professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced environment.

 
  • Proven experience in a similar role as an HR Administrator, Payroll Officer, or HR Administrative Assistant.
  • Hands-on experience with payroll systems, preferably Sage Payroll, and familiarity with HRIS platforms.
  • Solid understanding of South African labour laws and HR best practices.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the Google Workspace (Docs, Sheets, Drive, etc.).
  • Strong organizational and time management skills with the ability to prioritise and manage multiple tasks effectively.
  • Excellent interpersonal and communication skills (written and verbal), with a professional and approachable manner.
  • High level of accuracy, discretion, and attention to detail, particularly in handling sensitive employee information.
  • Relevant HR or Payroll qualification (certificate or diploma) is advantageous but not essential.
