Payroll Assistant - Full Time

The Payroll Assistant supports the Payroll Team in the accurate, timely, and confidential administration of payroll processes. Responsibilities include payroll data entry, timekeeping reviews, payroll audits, payroll and benefit changes, payroll reporting, and responding to employee payroll inquiries.
Working closely with managers, department leaders, Human Resources, Accounting, Benefits, and employees, the Payroll Assistant helps ensure payroll information is accurately processed and maintained in compliance with company policies and applicable federal, state, and local regulations. This role is essential to delivering a seamless payroll experience and supporting the overall success of our team members.

- Assist the Payroll Team with the accurate and timely processing of payroll.
- Enter and maintain payroll information in the payroll system following established approval processes and procedures.
- Review and reconcile payroll earnings and other payroll-related information each pay period.
- Process payroll and benefit additions, changes, and deletions accurately and timely.
- Review timekeeping and payroll information submitted by managers and department leaders to identify errors, omissions, or discrepancies.
- Audit payroll and employee information entered into the payroll system to ensure accuracy and completeness.
- Research and assist with resolving payroll discrepancies and employee payroll issues.
- Serve as a resource and point of contact for routine payroll questions and respond to payroll inquiries promptly and professionally.
- Provide payroll reports and information as needed each pay period and upon request.
- Communicate effectively with managers, department leaders, Human Resources, Benefits, Finance, and employees to ensure accurate information is exchanged and payroll issues are resolved.
- Assist with payroll-related employee transactions, including new hires, changes in status, pay changes, terminations, deductions, and other updates.
- Assist with payroll orientations and training for managers and other employees regarding timekeeping and payroll procedures and systems.
- Assist with maintaining and administering payroll-related programs, including PayCard or similar payroll payment programs, as assigned.
- Assist the Payroll Team with payroll-related administrative duties, including employment verifications, unemployment, filing, scanning, copying, emailing, and maintaining records.
- Maintain accurate and organized payroll documentation and records.
- Safeguard confidential employee, payroll, compensation, and personal information.
- Assist with payroll audits, reconciliations, year-end activities, and other compliance-related requests.
- Understand and follow applicable federal, state, and local wage and hour laws, payroll requirements, and organizational policies.
- Participate in special projects, process improvements, and other duties as assigned.

QualificationsEducation and Experience- High school diploma or GED required.
- Minimum of two years of payroll experience preferred.
- Experience working with a payroll or HRIS system required or strongly preferred.
- Paycom or other comparable payroll system experience preferred.
- Knowledge of federal and state payroll laws, wage and hour requirements, and payroll procedures preferred.
- Experience with timekeeping systems preferred.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities and meet payroll deadlines.
- Ability to work effectively in a fast-paced environment and adapt to changing priorities.
