The Team You Will Join
The main purpose of the HR Solutions Specialist role is to enable an enhanced employee experience while being the HR local point of contact for operational support and supporting the end-to-end HR processes serving as the lynchpin between HRBPs and the broader HRSS organization, including the Accenture team.
This role supports Business Leaders and HR to mobilize effective and forward-thinking people solutions by providing end-to-end integrated talent support and utilizing growing functional and business knowledge to tailor programs and solutions.
The Opportunity
Job Summary:
The HR Solutions Specialist is responsible for coordinating and managing various HR processes, ensuring compliance with local legislation, and supporting HR team initiatives. This role requires a detail-oriented individual with strong organisational skills, capable of managing multiple HR-related activities, including payroll processing, employee onboarding, and benefits administration. The role also involves quality assurance, process improvement, and maintaining accurate and up-to-date content on the HR portal.
How You'll Help Us Build a Confident Future (Key Responsibilities)
1. Payroll Coordination:
- Coordinate and process the monthly payroll, including centralising payroll data and sending it to the payroll vendor.
- Ensure alignment with local legislation during payroll processing.
- Prepare reconciliations before and after payroll to ensure accuracy.
- Generate and submit reports in compliance with local statutory requirements.
2. HR Administration:
- Oversee all HR administrative activities, including managing HR mailboxes.
- Handle employee onboarding activities in collaboration with the HR team.
- Manage changes in terms of employment throughout the month.
- Coordinate activities related to the termination of employee contracts.
- Administer employee benefits and prepare relevant reporting.
- Maintain relationships with third-party vendors (e.g., Accenture, payroll providers).
- Manage the HR vendor invoice flow, including creating purchase orders, following up on invoices, and ensuring proper management.
3. Platform and Content Management:
- Maintain and regularly update the My HR platform, including uploading new articles and refreshing existing content.
- Validate and update content on the HR portal regularly to ensure accuracy and relevance.
4. HR Analytics and Reporting:
- Prepare regular and ad-hoc HR analytics and reports as required.
- Conduct risk assessments and manage onboarding processes for HR vendors and third parties.
5. Quality Assurance:
- Ensure the quality assurance of all HR processes, continuously reviewing and updating them to meet organizational standards.
- Serve as the first point of contact for vendor interactions, particularly Accenture, and escalate unresolved issues to the AVP - EMEA Strategic HR Solutions.
- Review and validate all templates, contracts, letters, and other HR documents to ensure they are accurate and up-to-date.
6. Compliance and Legislation:
- Stay informed about local legislation affecting HR processes and propose necessary actions to ensure compliance.
- Manage the Fit & Proper process, including conducting background checks and ensuring regular document signing.
7. Process Improvement and Automation:
- Actively participate in the automation and improvement of HR processes, particularly in payroll and administration.
8. Support and Collaboration:
- Provide support to the HR team across various functions.
- Participate in ad hoc projects and handle requests as required.
- Take ownership and accountability for your role, contributing to the continuous improvement of the HR function.
9. Local Country work:
- Support the HR team in work council activity/requests: BDESE, Bilan Social
- Participate and manage report for local projects: BSI
- Improvement of payroll process: creation of payroll process, allocation of security social checking
- Support Financial department: checking and explanation with files extracted from payroll tool (monthly)
What You Need to Succeed (Required Qualifications)

  • Relevant experience in HR and payroll administration, min 3 years experience in similar roles
  • Payroll Software: Proficiency in using payroll software for efficient and accurate payroll processing.
  • Data Entry: Accurate and timely input of payroll data, ensuring precision and reliability.
  • Taxation Knowledge: Understanding of tax codes and regulations related to payroll.
  • Excel Skills: Skills in Microsoft Excel for data analysis, reporting, and reconciliation.
  • Time Management: Efficiently manage time to meet payroll deadlines and handle multiple tasks simultaneously.
  • Communications: Strong verbal and written communication skills for effectively addressing payroll-related queries from employees.
