Overview

Working closely with People & Culture (P&C) and Finance teams, Payroll and Compliance Specialist is responsible for the accurate and timely execution of end-to-end payroll operations for India. Based in India, the Payroll and Compliance Specialist serves as the country-level payroll expert, ensuring absolute compliance with local regulations and company policies while supporting a consistent and controlled global payroll process. This role focuses on payroll delivery, compliance execution, vendor coordination, and issue resolution, with accountability for payroll accuracy, timeliness, and data integrity across assigned regions.

The ideal candidate is detail-oriented, highly organised, and capable of managing multiple payroll cycles and deadlines. They bring strong analytical and problem-solving skills, the ability to identify and escalate risks, and a collaborative approach to working with cross-functional teams in a fast-paced global environment.

Responsibilities
  1. Payroll Execution (Core)
    • Execute end-to-end payroll for assigned countries ensuring accuracy and timeliness.
    • Process employee lifecycle transactions and payroll adjustments.
    • Manage off-cycle payroll activities.
  2. Compliance & Risk Monitoring
    • Ensure adherence to local tax, statutory, and labor regulations across all assigned jurisdictions.
    • Monitor compliance changes and flag operational impacts.
    • Escalate risks and compliance issues promptly.
  3. Vendor Coordination
    • Work closely with outsourced, in-country payroll providers.
    • Track deliverables and ensure strict SLA adherence.
    • Escalate vendor performance issues when needed.
  4. Payroll Reporting & Reconciliation
    • Validate payroll outputs and support journal entries.
    • Perform reconciliations and support external and internal audits.
    • Maintain comprehensive documentation and continuous audit readiness.
  5. Stakeholder Support
    • Respond to employee payroll inquiries and resolve ticketing queues.
    • Partner with P&C and Finance on cross-functional issue resolution.
  6. Process Adherence & Improvement
    • Follow established global payroll processes and internal controls.
    • Identify operational improvement opportunities and support optimization initiatives led by HQ.
  7. India Compliance & Regional Scope
    • Maintain an updated compliance calendar and manage timelines for statutory filings, including quarterly, half-yearly, and annual filings.
    • Ensure absolute payroll compliance for India operations, including accurate calculations, monthly deposits, and filings for TDS (Form 24Q), Provident Fund (PF), ESI, and Labour Welfare Fund (LWF).
    • Maintain actuarial reports for leave encashment and gratuity allocations.
    • Coordinate closely with the legal team regarding any local labor disputes or compliance interpretations.
    • Act as the single point of contact for local labor consultant onboarding, management, and coordination.
Key Performance Indicators (KPIs)
    • Accuracy: Maintain a target payroll processing error rate of less than 0.5% per cycle.
    • Timeliness: Ensure 100% on-time delivery for all monthly and off-cycle payroll runs across all assigned jurisdictions.
    • Compliance: Zero penalties, fines, or late fees resulting from statutory filing delays or miscalculations.
    • Vendor Efficiency: Ensure third-party in-country providers meet 100% of agreed-upon SLA milestones.
Qualifications Basic Knowledge and Skills 
  • Bachelor’s degree in commerce (B.Com), Business Administration (BBA), Human Resources, or a closely related field.
  • Minimum of 3 years of experience processing end-to-end payroll, preferably in a multi-country or shared services environment.
  • Strong hands-on experience handling the complete end-to-end Indian payroll ecosystem, including CTC structuring, net-pay processing, and variance reporting.
  • Deep understanding of India statutory compliance, including accurate calculations, monthly deposits, and handling filings for TDS, PF, ESI, and gratuity calculations.
  • High attention to detail, strong organisational habits, and excellent documentation skills.
  • Strong analytical and problem-solving capabilities, specifically regarding payroll reconciliations and variance analysis.
  • Advanced experience with payroll systems, data analysis tools, and Excel.
  • Ability to work independently during local hours while collaborating effectively with distributed, cross-functional teams in different time zones.
Desired Knowledge and Skills
  • Professional certification in Indian Payroll and Statutory Compliance (e.g., Certified Payroll Professional India - CPPI).
  • Experience supporting global payroll system implementations, enhancements, or transitions.
  • Familiarity with HRIS integrations, benefits administration, and data migrations.
  • Experience working in a multi-country outsourced payroll model across additional APAC countries (e.g., Malaysia, Australia, Japan).
  • Experience working in a fast-paced, high-growth environment.
  • Experience administering employee benefits programs and supporting benefits-related processes.

    Skills Required
