Job Description:
The Payroll Administrator is responsible for supporting accurate and timely payroll processing by coordinating and executing all operational payroll tasks. This role reviews and reconciles weekly time files, maintains employee payroll records, processes payroll changes, and ensures compliance with applicable regulations. The Payroll Administrator serves as the primary point of contact for managers and employees on payroll‑related inquiries and provides day‑to‑day operational support to the payroll function.
Key Responsibilities
Payroll Processing
- Compile and process payroll data, including timesheets, additional pay requests, direct deposit setup and changes, miscellaneous deductions, garnishments, and tax withholding updates.
- Review, balance, and validate weekly time files; identify, investigate, and correct errors to ensure accurate wage calculations.
- Ensure payroll data is processed accurately and in accordance with company policies and regulatory requirements.
Employee Records & Pay Administration
- Maintain employee payroll records within the payroll system, ensuring data accuracy and completeness.
- Process employee terminations in compliance with state regulations.
- Prepare and distribute checks for missing pay and termination pay, including coordination of final payments.
Reporting & Issue Resolution
- Prepare periodic payroll reports related to earnings, taxes, and deductions.
- Research and resolve payroll inquiries from employees and managers in a timely and professional manner.
- Escalate complex payroll issues as needed while supporting resolution initiatives.
Scope & Working Relationships
- Performs responsibilities using established policies and standardized payroll procedures.
- Exercises judgment when evaluating alternatives and determining appropriate courses of action.
- Uses typically straightforward information, with occasional independent research or light analysis required.
- Works under regular supervision but is expected to take initiative and act independently when appropriate.
- May coordinate work with peers, other departments, or external vendors to support payroll operations.
- Works with supervisor to establish short‑term priorities that align with departmental objectives.
Qualifications
- Associate’s degree or equivalent from a two‑year college, technical school, or relevant certificate program or six months to one year of related payroll experience and/or training; equivalent combinations of education and experience will be considered.
- Experience with Workday and ADP SmartCompliance preferred, but not required.
- Intermediate proficiency in Microsoft Excel, including maintaining and analyzing payroll spreadsheets, using commonly applied formulas and functions (e.g., IF, SUMIFS, COUNTIFS, VLOOKUP/XLOOKUP), data validation, and comparing data sets for accuracy.
- Intermediate experience using PivotTables to summarize payroll data, support reconciliations, identify trends or discrepancies, and assist with payroll processing audits and reporting.
- Excellent attention to detail with strong organizational and time‑management skills.
- Ability to handle sensitive and confidential information with professionalism and discretion.
