Job Responsibilities

  • Manage and execute site payments in compliance with Clinical Trial Agreements and individual site staff agreements
  • Manage and execute participant payments in line with applicable regulatory requirements and internal policies
  • Accurately record payment transactions and updates in relevant electronic systems
  • Prepare and process payment requests in the designated grant management system within required timelines and update systems as needed following signed contract amendments
  • Create Purchase Orders (POs) based on established contract values in coordination with Budget & Contract Specialists and Trial Managers
  • Set up new suppliers for newly engaged site staff participating in clinical trials
  • Track and monitor payment status regularly, proactively identifying and resolving issues and reporting inaccuracies as needed
  • Contribute to the development and implementation of site payment process improvements in collaboration with internal teams and external stakeholders
  • Collaborate with cross-functional teams (e.g. budget, contract, start-up, legal and finance) to ensure efficient execution of payment processes and issue resolution
  • Handle financial communication with designated site contacts and site staff regarding payment processes
  • Communicate with sites and clinical teams on payment status and address any questions or updates
  • Act as a subject matter expert (SME) for site payment-related processes and inquiries
  • Deliver assigned tasks proactively, independently, and in accordance with internal Standard Operating Procedures (SOPs)
  • Support high-quality execution of clinical trial payment activities in compliance with regulatory requirements and internal quality standards

Qualifications:

  • Associates Degree (or equivalent) in finance, accounting, business, science, or a related field
  • Minimum of year experience in in clinical studies, pharma/biotech, or financial operations, ideally with global exposure
  • Strong organizational skills.
  • Ability to manage time and work independently.
  • High proficiency with full MS Office Applications.
  • Strong communication, presentation, interpersonal skills, both written and spoken, with an ability to inform, influence, convince, and persuade
  • High level of competence in English language
