We are looking for a highly organized and friendly Part-Time Receptionist to join our Administration Team at our Rosemont HQ office. As the first point of contact for visitors and clients, this role is critical in creating a positive first impression and representing IMO Health with professionalism and warmth. The position is for three days a week, from Tuesday to Thursday.
WHAT YOU’LL DO:
- First Impressions: Greet and welcome visitors, ensuring they have a positive experience and directing them to the appropriate person or department.
- Phone and Email Management: Answer, screen, and forward incoming calls and emails, providing accurate information as needed.
- Visitor Coordination:Maintain visitor logs, issue visitor badges, and ensure compliance with security protocols.
- Administrative Support: Assist with various administrative tasks such asordering and managing office supplies,snacks and beverages, along with inventory management and vendor requests. AssistExecutive Assistants with other light administrative tasks as needed.
- Mail and Package Handling: Receive, sort, and distribute mail and packages; manage outgoing mail and courier services.
- Office Maintenance: Ensure the reception area and all conference rooms are tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).
- Customer Service: Provide excellent customer service to both external and internal clients, addressing inquiries and resolving issues efficiently.
- Data Entry and Record Keeping: Perform data entry tasks, maintainingaccurate records and databases as needed.
- Event Coordination: Assist in organizing company events, meetings, and catering arrangement to include receiving, set up and clean up for breakfast, lunches etc.
WHAT YOU’LL NEED:
- High school diploma or equivalent required; associate's degree or higher preferred.
- Proven work experience as a receptionist, front desk representative, or in a similar role.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Friendly, professional demeanor with a focus on customer service.
- Familiarity with office equipment (e.g., printers, fax machines).
- Ability to handle sensitive information with confidentiality.
- Flexibility to assist with additional tasks and projects as needed.
WORKING CONDITIONS:
- Environment: Office setting.
- Schedule: Part-time, Tuesday to Thursday, 8:30 AM – 5:00 PM.
- Physical Demands: Ability to sit, stand, and walk for extended periods; occasional lifting of office supplies up to 20 pounds.
- Salary: Competitive hourly wage based on experience.
