SGA Dental Partners is seeking a Paralegal to join our corporate team in Richmond Hill, GA.

This role works closely with the Chief Legal Officer, internal business partners, affiliated practice entities, and outside counsel to support efficient legal operations across the organization. This role requires exceptional organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities while maintaining strict confidentiality. The ideal candidate is highly responsive, process-oriented, and capable of building and maintaining scalable systems that support a growing enterprise.

This is an in-person role Monday - Friday, 8 - 5.

Key Areas of Responsibility:

Litigation and Dispute Management

  • Maintain and continuously update a centralized litigation tracker for all active, threatened, and resolved legal matters.

  • Coordinate with internal stakeholders and outside counsel to ensure case status, deadlines, and developments are accurately documented.

  • Establish and maintain standardized processes for obtaining litigation updates and monitoring case progression.

  • Track demand letters, pre-litigation matters, subpoenas, and dispute-related correspondence.

  • Monitor key litigation deadlines and ensure timely escalation of matters requiring legal review or action.

Legal Correspondence Intake and Management

  • Manage the intake and tracking of legal correspondence and requests, including subpoenas, records requests, demand letters, regulatory inquiries, and contract-related matters.

  • Review, categorize, and prioritize incoming legal materials based on urgency, complexity, and business impact.

  • Exercise independent judgment in routing matters to appropriate legal team members and outside counsel.

  • Maintain organized records of submissions, responses, and supporting documentation.

  • Ensure timely escalation of urgent or time-sensitive legal matters.

Corporate Governance and Regulatory Compliance

  • Coordinate annual registrations, filings, and renewals for corporate entities across multiple jurisdictions.

  • Support business license renewals and annual report filings for affiliated practice entities.

  • Maintain state qualification records and entity compliance status.

  • Manage centralized databases for professional licenses, facility licenses, permits, and regulatory requirements.

  • Track and coordinate renewals of X-ray licenses and other operational licenses across supported locations.

  • Maintain corporate records and support entity management activities.

Contract Administration and Tracking

  • Maintain systems for tracking contractual obligations, renewal dates, notice requirements, and termination windows.

  • Review and monitor lease renewal deadlines and coordinate with internal stakeholders regarding required actions.

  • Organize and maintain executed agreements, templates, and contract repositories.

  • Review agreements for completeness, identify non-standard provisions, and escalate issues requiring legal review.

  • Support negotiation of routine contract provisions within established guidelines.

  • Manage contract approval workflows and coordinate agreement execution, including administration of electronic signature platforms.

Policy and Documentation Management

  • Maintain centralized legal policies and document repositories.

  • Ensure policies are current, properly version-controlled, and accessible to authorized stakeholders.

  • Coordinate policy updates with legal, compliance, and operational teams.

  • Support periodic policy reviews to ensure consistency, accuracy, and completeness.

Legal Operations and Project Support

  • Support legal department initiatives, process improvements, and system implementations.

  • Assist with due diligence activities, document organization, and transaction-related projects.

  • Identify opportunities to improve efficiency and streamline legal workflows.

  • Support special projects and additional legal initiatives as assigned.

  • Exercise discretion and independent judgment when assessing risk, prioritizing competing matters, and addressing issues of significance to the legal function.

Education and Experience:

  • Bachelor's degree required or an equivalent combination of education and relevant experience.

  • Paralegal certification is preferred but not required.

  • 3 to 7 years of paralegal, legal operations, or related experience preferred.

  • Experience supporting an in-house legal department in a multi-state, healthcare, dental, or high-growth organization is preferred.

  • Demonstrated success managing high-volume workflows while maintaining exceptional attention to detail.

  • Strong organizational, communication, and project management skills.

  • Ability to exercise sound judgment and maintain confidentiality.

  • High degree of responsiveness, accountability, and attention to detail.

  • Ability to work independently while supporting a lean legal team.
