We’re excited to welcome a new member to our team in this important role supporting both our patients and care teams! The Outpatient Scheduling Coordinator coordinates outpatient diagnostic testing by obtaining required prior authorizations, providing orders and authorization information to diagnostic facilities, and communicating scheduling information and instructions to patients. This role serves as an important liaison between patients, physicians, diagnostic facilities and insurance providers, helping keep testing on track and addressing issues that could cause delays. We’re looking for someone who is organized, proactive, resourceful and takes ownership of their work while working collaboratively with a supportive team.
Education/Experience:
- High School graduate
- 2+ years of experience in healthcare, medical scheduling, prior authorization, customer service or a related field preferred.
- Experience with insurance requirements, diagnostic testing or medical terminology is a plus.
Skills:
- Working knowledge of basic spinal anatomy, common neurosurgical diagnoses and diagnostic imaging.
- Familiarity with insurance requirements and prior authorization processes.
- Strong attention to detail, accuracy and ability to manage and prioritize multiple tasks.
- Excellent verbal and written communication skills with a professional, empathetic approach to patients and coworkers.
- Strong problem-solving and decision-making skills, with the ability to identify potential issues and take action to prevent delays.
- Takes ownership of assigned work, follows tasks through to resolution, and proactively researches questions using available resources.
- Ability to work independently with minimal supervision while contributing effectively to a team; comfortable learning and working in multiple computer systems.
Essential Functions:
- Help develop and maintain a corporate culture that supports the mission and values of the Mayfield Clinic.
- Coordinate outpatient diagnostic testing, including but not limited to MRI, MRA, CT, CTA, CT myelogram, DEXA, carotid Doppler and other assigned diagnostic studies.
- Obtain required prior authorizations for outpatient diagnostic testing, including researching payer requirements, gathering necessary information and documentation, and following outstanding requests through resolution.
- Provide diagnostic facilities with required orders and authorization information and communicate facility scheduling information, testing instructions and next steps to patients.
- Maintain complete, accurate and timely documentation of scheduling, prior authorization, patient communications and follow-up in the electronic medical record and applicable tracking systems.
- Document patient and work-related information objectively and accurately based on information actually obtained or verified. Do not document assumptions or unconfirmed information as fact.
- Identify missing, incomplete or conflicting information and take appropriate action to obtain clarification, documentation or resolution.
- Communicate and collaborate effectively with patients, physicians, clinical staff, diagnostic facilities, insurance providers and other departments to resolve questions and prevent delays in patient care.
