Regulated Products Licensing Admin
The Gopuff team is seeking an organized and detail-oriented team player to be our full-time Licensing Admin, supporting our Regulated Products - Alcohol & Tobacco Licensing team within the Legal & Compliance team. This role will report to the Senior Licensing Manager. Gopuff has HQ presence in Philadelphia, San Francisco, Austin, Boston, Seattle, Miami, New York, Los Angeles, Chicago, and Washington, D.C., and while this role can be located in any of these cities, Philadelphia is a preferred location.
Responsibilities
- Perform an array of administrative tasks related to project scheduling and interdepartmental communications
- Prepare responses to correspondence containing routine inquiries and follow ups
- Support the Regulated Products team in all efforts to effectively manage schedules for contracts and documents to ensure on time return and completion
- Special project coordination, including organizing and scheduling team meetings and events
- Work closely with a variety of business partners to obtain the items necessary for submittal of alcoholic beverage and tobacco license applications
- Communicate regularly with licensing authorities
- Create and modify documents such as internal trackers, reports, meeting minutes, and letters using Google sheets, word processing, spreadsheets, etc.
- Maintain accurate & consistent electronic files, including internal trackers, for the team
- Identify, prioritize and resolve issues in a proactive manner
- Maintain confidentiality in all aspects of third party and staff information
Qualifications
- Bachelor's degree required
- Experience with alcohol and/or tobacco licensing a plus
- 3+ years in administrative capacity
- Experience supporting a large team
- Advanced computer proficiency and working knowledge of G-suite and Microsoft Office
- Excellent oral communication skills, writing skills, organizational and problem solving skills
- Interact effectively with internal management and various levels of external parties
- Attention to detail with the ability to manage multiple priorities and responsibilities
- Ability to work well either independently or as part of a team
- Proven ability to consistently and positively contribute in high-paced, and changing environment
- Previous experience working in a tech startup environment or in either Legal or Government Affairs fields is a plus!
