The compensation range for this position is $30-35/hr. This is a part time position offering ~30 hours per week of work, though the role can be a full-time salaried position for the right candidate.

In this role you will report to the President. You will have no reports. Other people reporting to the President currently include the Director of Engineering and the Director of Marketing.

You will not be accountable to any KPIs; the role supports the operational excellence of the company and the President's priorities.

Overview

The Operations Manager enables the President and other managers to work more efficiently by managing administrative work related to the scope of the managers' responsibilities. The position requires proactivity and the ability to work autonomously as well as in a team setting. The Operations Manager must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

Administrative

  • Maintain detailed documentation of your work duties, continually updating the administrative operations manual as your duties evolve and change
  • Maintain our inventory of physical equipment (i.e. laptops) and mail to employees as appropriate
  • Organize events, travel plans, itineraries, and related agendas
  • Plan company events, happy hours, and outings as needed

  • Physical Mailbox and Inventory

  • Maintain a physical inventory of our swag in Baltimore; keep track of how many items of swag we have; prepare and mail swag to employees, partners, clients, and to conference venues
  • Collect and process mail (including physical checks / payments) from our physical mailbox at 8 Market Pl, Baltimore, MD

  • Financial

  • Manage weekly invoicing process, including tracking invoices and hours worked in a google spreadsheet
  • Manage recurring and one-off purchasing requests
  • Process and reimburse approved expense reports; ensure compliance with company policy and reporting requirements
  • Track expenses for various marketing projects
  • Review monthly expense reports
  • Communicate with our bookkeepers to keep accurate accounting records

  • Marketing & Sales

  • Execute on marketing tasks (e.g. promotion of our podcast on various social media, tracking of sponsorship requests, etc.) as directed by the Director of Marketing
  • Represent the company at Baltimore-based events we sponsor

  • HR and Hiring

  • Manage HR procedures such as employee onboarding, scheduling interviews, etc.
  • Process annual open enrollment for the company's health insurance renewal
  • Liaise between employees and the company's medical insurance broker


  • Requirements

  • Extremely Well-Organized: we are an organized company. Successful candidates must be well-organized and have a natural disposition for developing, leveraging, and using systems and processes.
  • Excellent Written and Verbal Communication: the position requires interfacing with the entire company, clients, and other external stakeholders. Clear and concise communication is a requirement for the position.
  • G Suite: we use Google Apps extensively throughout our operation. This position requires that you have demonstrated experience with Google Apps, chiefly Google Drive, Google Docs, and Google Sheets. We do not use Microsoft Office; experience with MS Office is not a suitable substitute for Google Apps experience.
  • Asana: the Operations Manager will use Asana to manage all aspects of their work - from recurring to one-off tasks. Experience with Asana or another project management platform is necessary for success.
  • Excellent Follow-Through: you must be self-directed and able to perform assignments independently. We expect you to be able to take projects through to completion and to be able to manage your own work.
  • Internet Savvy: our main service offered is software development.
  • Attention to Detail: the nature of the position requires you to be meticulous in your review of documents, communication, software, etc.
  • Creativity: the position requires more than the ability to follow the status quo. Everybody on the team contributes in a meaningful way to the company's trajectory.


  • Benefits

    This position offers a very flexible work schedule, however, we do need you to be available on Monday, when a number of critical functions (including invoicing and recordation of invoices) occurs.

    While we do not have a physical office space and are a virtual company, the nature of this position requires that you will be able to travel weekly to our mailbox in Baltimore City and to the location where we keep our physical inventory, in Baltimore City.

    Health, dental, and vision insurance, paid vacation, paid parental leave are available to those who work 30+ hours per week. Anybody who expects to receive more than $5,000 in compensation from SmartLogic in a calendar year is eligible to participate in our 3% matching SIMPLE IRA program.
