Position Overview:

The Leasing Operations Specialist will primarily manage and execute the Leaseback Transaction Management Process. The Leasing Operations Specialist will also assist the Leasing Operations team as needed.

Essential Duties and Responsibilities:

Leasing Operations inbox – monitoring of the shared Leasing Operations inbox to ensure that all incoming communications are tagged appropriately and all communications for Leasebacks are addressed within assigned SLA’s

Leaseback Transaction Management Process - Requests

  • Draft and manage execution of Leasebacks which are over 29 days in length as requested by the Acquisition team using the JIRA ticketing system
  • Facilitate screening process for applicants and draft and manage execution of Leasebacks which are over 29 days in length for the team
  •  Manage extension requests for existing Leaseback residents which includes facilitating extension requests with Underwriting, communicating with the resident, drafting and managing execution of the extension contract, updating the system with new lease and move out dates, activation of resident portal links, and applying charges
  • Manage Leaseback tickets and queue in the JIRA ticketing system
  • Support for and collaboration with Acquisitions, Property Onboarding, Offmarket Contracts, Leaseback residents, MSR Move Outs, MSR Evictions, and MSR Construction to ensure that the Leaseback resident experience is positive for internal and external customers
  • Reporting as required for KPIs and SLA’s

Leaseback Transaction Management Process – Move Out Confirmation

  • Management of the Leaseback Vacate process with a daily audit of expired Leasebacks. Use the All Units report to identify all expiring Leasebacks and requesting confirmation of vacate date and forwarding address via email from leaseback residents. Updating the system with forwarding address, verifying accuracy of ledger and terms, and completing Move Out
  • Manage extension requests for Leaseback residents who cannot vacate which includes facilitating extension requests with Underwriting, communicating with the resident, drafting/ managing execution of the extension contract, updating the system with new lease and move out dates, activation of resident portal links, and applying charges.
  • Creating Occupancy Check work orders for non-responsive leaseback residents and sending a weekly Occ check work creation update to MSR Construction. Auditing of Occupancy Check Work Orders to ensure completion and results
  • Reporting as required for KPIs and SLA’s

Leaseback Transaction Management Process - Onboarding

  • Generate daily reports from PRISM and SalesForce systems to identify all newly boarded properties occupied with Leaseback residents within 2 days of settling
  • Review of closing documents to ensure criteria for onboarding
  • Create a resident page in Yardi for each new Leaseback resident, set occupancy status, contact information for all occupants, date terms, ledger charges, rent charges, and set Notice
  • Upload required documentation (Settlement Statement and Leaseback)
  • Distribute Welcome notice and activate resident portal and send activation link
  • Reporting as required for KPIs and SLAs

Additional Responsibilities for Leasing Operations as needed:

  • Lease Integrity Review (LIR) process: review of all leases within 24-48 business hours of move in to ensure that all Investor and MSR criteria has been met both in YARDI and on the lease packages and creation of Lease Documentation work orders for corrections
  • Lease Diligence for Investor reporting: monthly diligence request by Securitizations of a population of leases to be verified as correct and saved to specified Owner folders by SLA
  • Leasing Operations JIRA tickets for system adjustments as needed
  • Checkpoint Message Review process: a daily report to clear flagged checkpoint messages for applicants which involves both verbal and written communication to request documents and verify information

Supervision Received:

The Leasing Operations Specialist will be regularly supervised and will report to the HCV & Leasing Operations Director

Qualifications & Skills:

REQUIRED:

  • High School Graduate
  • Proficient in Microsoft Excel, Microsoft Word, Microsoft Outlook, Adobe
  • Ability to perform repetitive work in diligent manner
  • Detail oriented
  • Professional written and communication skills

PREFERRED:

  • Experience with Yardi preferred
  • Experience with Homeowner Association preferred

SEDENTARY - Exerts up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time, but may involve walking or standing for brief periods of time.
