Executive Assistant / Virtual & Onsite Office Manager
Hybrid Role
We are searching for a hands-on and detail-oriented Executive Assistant and Virtual & On-site Office Manager. As our locations grow and we move towards a hybrid office approach, DaySmart Software is looking for a highly motivated person with excellent interpersonal skills, to provide comprehensive support to the CEO as well as key leadership team members. The role will also play a key role in planning and leading companywide engagement activities. This role would be a hybrid role with 2-days onsite in our Ann Arbor OR Philadelphia office.
Administrative:
- Assist the CEO and executive leaders with travel, calendar/meeting maintenance, email, and communication.
- Moderating meetings, keeping notes, publishing minutes and follow up on open items.
- Develop a strong network within the local campus and across our DaySmart locations.
- Coordinate travel and other administrative tasks for management and leadership team members visiting the office.
- Point person for maintenance, mailing, shipping, supplies, equipment, bills.
- Assist with scheduling, data entry and organizing spreadsheets.
- Maintain company organizational chart.
- Responsible for Board of Director communication management to include meeting planning to deck coordination and organization.
Engagement:
- Create and plan engaging team member activities, programs (including virtual events) and incentives.
- Responsible for developing standards and promoting activities that enhance operational procedures.
- Create and drive a positive office environment.
- Be the face of the company, assure everyone (employees, customers, suppliers) who interacts with our division feels welcomed and supported.
Office Management:
- Maintain the office and monitor office supply inventory. Ensure that all items are properly stocked, and machines receive required maintenance.
- Greet and coordinate visitors by welcoming them and directing them appropriately.
- Order and coordinate catering as needed for the office.
To be successful candidate should possess:
- College Degree desired.
- 4 + years of experience in an office management and/or administrative support role.
- Prior experience moderating meetings, keeping notes, publishing minutes and follow up on open items.
- Strong organizational and communication skills (both verbal and written).
- Able to effectively interact with executives, customers, and employees.
- Creativity in communication to enhance engagement is a key skill.
- Sense of urgency - must be able to meet deadlines and to work under the pressure of short time constraints.
- Ability to prioritize and multitask, especially with shifting priorities.
- Must be able to develop and maintain cordial and professional relationships with all levels of the business.
- Flexibility and willingness to get the job done.
- Proficient in Microsoft Suite of products.
- Detail oriented to ensure accuracy and quality across all tasks.
- Must be able to complete tasks thoroughly and accurately, sometimes with little direction.
- Ability to resolve complex administrative problems independently and perform tasks that are diverse and advanced.
- Demonstrate highest level of ethics and ability to always maintain confidentiality with all situations and documentation.
