YOUR ROLE

Bold Penguin is seeking a Conference and Event Coordinator to oversee the planning and execution of all company events and conferences. In this role, you will be communicating with conference coordinators, planning and executing logistics, and working closely with the sales and marketing teams to ensure that events are smooth and successful. This role reports to the VP, Chief of Staff. 


WHAT YOU'LL DO

· Organize and own the planning, logistics, and execution of all internal and external events, including conferences, employee social events, employee onsite/offsite, leadership summits, training sessions, and client/customer events.

· Handle all logistics for each company event including managing timelines and deadlines, coordinating with venues and suppliers, determining staffing or other resource needs, and preparing and monitoring budgets.

· Maintain project management documents and timelines for all conferences and events

· Lead internal planning meetings and submit status updates to Leadership on a regular basis. Maintain documentation on meetings and deliverables.

· Serve as the on-site coordinator and oversee set-up and tear-down during all local events; non-local events will be on an as-needed basis.

· Assist the Chief of Staff, Director of Enterprise Sales, and the Director of Marketing in the development of Bold Penguin’s annual conference strategy; manage the annual conference budget.

· Assist the sales team with needed tradeshow/conference materials (booth set-up and materials). Hold the sales team accountable for their actionable conference-related items.

· Coordinate the schedule of Marketing-driven conference activities, e.g., emails, social posts, sales collateral development, etc.

· Work with Director of Marketing to negotiate conference memberships and contracts.

· Perform post-event evaluations and produce internal reports for the Chief of Staff.

· Develop and oversee the swag management process.

· Develop new swag concepts in coordination with the marketing team for employees, conferences, partners, etc.

· Research and coordinate with outside vendors on design.

· Research and coordinate with various suppliers to ensure quality, budget management, and innovation.

· Work with the Office Coordinator to control ordering and inventory, storing needs, and shipment of items.

· Systematically manage inventory, note reorder thresholds, and expiration dates of swag.

· Work with marketing team to manage swag and gift programs across prospects and multiple customer groups.

 

SKILLS AND QUALIFICATIONS

· Bachelor’s Degree, or equivalent experience, required

· 4+ years of experience in events industry with both large and small scale event planning background; conference experience preferred

· Proven track record of planning and executing events

· Strong ability to manage and prioritize multiple, concurrent tasks while meeting aggressive deadlines in a fast-paced environment

· Strong problem-solving skills with attention to detail

· Excellent relationship management skills

· Self-starter, leads and facilitates management of details needed to accomplish tasks; simultaneously management of several programs and initiatives

· Ability to work well in a team environment
