Program Description: PHS’ Community Health and Nutrition Access Program helps New York residents obtain free or low-cost health insurance coverage, apply for the Supplemental Nutrition Assistance Program (SNAP, also known as Food Stamps), and through our WIC program, provides nutrition education sessions led by WIC nutritionists on healthy eating and physical activity, breastfeeding support, and eWIC cards to purchase nutritious foods. Our staff members are culturally and linguistically competent and identify with the communities they serve. They help clients navigate through what can be a complicated and confusing application process, step by step. Each year, we help over 22,000 people apply for or renew free or low-cost health insurance coverage, 14,000 people to apply for SNAP, and 35,000 eligible pregnant and nursing women and children up to five years of age to enroll in the New York State WIC (Women Infants and Children) Program.
Summary of Position: The Operations Support Coordinator, at the Neighborhood WIC program provides support to Deputy Director and Operations Coordinator of Neighborhood WIC and to field staff with a range of diverse administrative operations.
Specifically, the Operations Support Coordinator will:
- Handles general office administrative duties: answers telephone calls as needed, responds to questions, redirects appropriately and follows up on issues as needed
- Supports Operations Coordinator to ensure all sites have appropriate inventory and functional facilities
- Supports Operations Coordinator in maintaining smooth WIC Center operations
- Supports Operations Coordinator with travel and other requests (books transportation and hotel, registers, processes and tracks payment of travel reimbursement requests and any other travel claims)
- Supports Operations Coordinator with submitting purchase requisitions and processing of payment vouchers
- Assists Operations Coordinator with arranging appointments, meeting spaces, and other logistics for internal and external meetings and special events as needed for WIC
- Assists Operations Coordinator with general paperwork as it relates to functionality of the WIC program
- Performs other related duties as required
- Supports Operations Coordinator with maintaining WIC SharePoint page content
- Support Operations Coordinator with Onboarding Documents (EAC,PAN, NY.GOV forms)
Qualification and Requirements:
- HS diploma required, AS degree preferred
- Advanced skills using PC office tools (IE/Firefox, Windows, Office including Word and Excel)
- Excellent analytical, operational, verbal and written communication skills
- Effective problem solving and prioritization skills with an ability to handle multiple tasks simultaneously
- Team player, willing to take on work as required, with an ability to work in fast paced environment
- Strong communications skills, ability to relate positively to a wide variety of people and work effectively with a culturally, racially and gender diverse work team
- Social service or non-profit experience preferred
- Salary - $40,000 - $45,000 annually
