Operations Support Associate

Job Summary

The Reporting & Analytics Analyst is responsible on a daily basis for providing analytical and systems support to local Data Center teams to enable the achievement of ongoing global performance targets. This role collaborates closely with local site teams and vendors to ensure Data Centers are well maintained, and serves as a guiding support on procurement, customer reporting and Equinix internal processes, also working closely with global and regional Ops Enablement teams.


Responsibilities

  • Support the Operations team to achieve ongoing global performance targets relating to operational systems and programs

  • Provide first level support for all system and human errors encountered within Australia’s operations

  • Ensuring correct and appropriate levels of Operations systems access for new and existing employees

  • Creating and raising internal orders, and coordinating with relevant teams to facilitate order processing

  • Gathering comprehensive data and information from employees and teams regarding different Data Centers

  • Triaging incoming Tier 1 technical incidents to appropriate channels of support as appropriate

  • Providing links of documentation to users with process queries

  • Investigating asset related requests, providing feedback, direction and/or escalation

  • Collaborating with AP Operations Enablement and other internal stakeholders to refine escalation response to uplift urgency & priority

  • Provide statistical data and commentary as required

  • Ownership and management of key Operations Support budgets including routine forecasting and cost reduction exercises

  • Ownership and management of annual Operations training plans in line with training framework

  • Maintains training attendance records and proactively plans and communicates future training as needed

  • Drives national waste management strategy through data analytics, problem solving and collaboration with internal stakeholders, sustainability champions and external vendors

  • Manages and approves Operations staff requests for IT equipment /mobile devices and tracks inventory

  • Manages and approves Operations staff requests for uniforms and tracks inventory

  • Coordinates active vendor contracts across key support areas, ensuring timely contract renewals and negotiation of terms as needed

  • Build positive working relationships with key stakeholders within and outside the business

  • Embody the Equinix culture daily in all interactions with internal and external customers

Organisational Support Responsibilities

  • Take a leadership role on key business projects as directed by Operations Support Manager

  • Champion business decisions and initiatives, acting as an energy supplier across the business

  • Proactively prepare and maintain planning documents to ensure efficient coordination of projects

  • Consider, initiate and lead opportunities for process optimisation

  • Drive consistency and scalability of processes nationally

  • Manage timely processing of invoices, generation of purchase orders and accuracy in budget coding

  • Build positive working relationships with vendors including performance management and follow ups

  • Actively participate in team discussions, facilitating own meetings when required

  • Assist with ad hoc tasks and projects including events coordination when required

  • Coordination and delivery of training and materials to site teams as required

  • Assist with documenting procedures from time to time

  • Provide relief support to other Operations Support colleagues when required

Administrative Support

  • Efficient, accurate record and document control

  • Efficient inbox management

  • Liaison with Equinix business units, third party and external business partners

  • Ensure key documents are uploaded to online document library and kept updated

  • Manage and communicate key upcoming dates, training, projects and events

  • Plans adequate coverage of critical business tasks during periods of team leave

Qualifications, skills and attribute:

  • Strong computer skills with advanced knowledge of Microsoft Office products

  • Strong written and verbal communication skills

  • 5+ years Data Centre experience preferred

  • Professionally presented

  • Mature, with a high level of integrity and respect for confidentiality

  • Highly organised and ability to prioritise and manage time effectively

  • Ability to work across a range of administrative, project and support activities

  • Proactive with the ability to work independently or in a dynamic team environment

  • Strong customer focus

  • Analytical, creative thinker and detail-oriented

  • Ability to communicate professionally with higher management

  • Self-motivated with a positive, can-do attitude
