We are seeking an Operations Specialist to join our Mumbai office. In this role, you will act as the operational anchor for our India presence, seamlessly bridging the gap between high-velocity recruitment coordination and the daily complexities of managing a world-class studio environment.

A Day in life:

· Manage daily studio logistics, including working with WeWork staff to facilitate maintenance requests and other office support, procure office supplies to maintain a high-functioning office environment

· Audit and optimize administrative systems, identifying opportunities to streamline workflows and improve cross-office process efficiency

· Manage travel and Visa logistics for the local team and visiting leadership

· Manage new hires and annual insurance process for the staff

· Conduct application review, selecting candidates to be phone screened and those who won’t move forward in the process

· Coordinate scheduling of phone screens and interviews for candidates

· Create reports and dashboards in Ashby ATS to inform recruiting decisions; maintaining 100% accurate data in Ashby, from initial candidate entry through to offer generation

· Analyze recruitment funnel data specifically for India studios to identify bottlenecks in the local hiring process and suggest scalable solutions

· Oversee the physical and administrative setup for new hires, ensuring all hardware, software, and statutory documentation are ready for a successful Day One

· Organize local studio events, team-building activities, and internal communications to foster a strong sense of belonging within the Mumbai team.

· Champion studio culture by coordinating local events and initiatives that foster engagement and align with global firm values

You Have the Following Qualifications:

· Experience in administrative and recruiting coordination

· Strong organizational skills and attention to detail

· Excellent written and verbal communication

· Ability to manage multiple priorities in a fast-paced environment

· Experience using an Applicant Tracking System (ATS); Familiarity with Ashby is a huge plus
