Opportunity: 

The Operations Services Manager is responsible for overseeing all aspects of office and facility management while ensuring the seamless execution of day-to-day operational services. This role plays a critical part in fostering a high-performance workplace environment by proactively supporting employee needs, maintaining functional and efficient physical spaces, and driving service excellence across key operational workflows. 

Responsibilities: 

  • Oversee the maintenance, safety, cleanliness, and functionality of all company facilities including office spaces, meeting rooms, common areas, and exterior grounds. 

  • Manage vendor relationships and contracts for janitorial services, maintenance, security, utilities, office equipment, and supplies. 

  • Coordinate and supervise office moves, furniture reconfigurations, renovations, and space planning to accommodate growth and evolving team needs. 

  • Ensure compliance with all building codes, safety regulations, and environmental standards. 

  • Serve as primary liaison with property management and emergency services. 

  • Champion day-to-day operational efficiency by identifying and resolving workflow bottlenecks that impact employee productivity. 

  • Manage front-desk operations, mailroom, shipping/receiving logistics, and inventory of office supplies and equipment. 

  • Implement and refine systems for IT coordination, employee onboarding logistics, and departmental support tools in partnership with IT and HR teams. 

  • Drive process improvements for operational services that directly impact internal customer satisfaction. 

  • Serve as the primary point of contact for employee support related to facilities, general office concerns, and service needs. 

  • Proactively collect employee feedback on office conditions, workspace preferences, and service improvements. 

  • Collaborate with HR and department leaders to ensure the workplace is welcoming, safe, and conducive to collaboration and productivity. 

  • Lead initiatives that enhance employee engagement through physical environment upgrades and service improvements. 

  • Develop and manage annual budgets for office operations, supplies, and facilities maintenance. 

  • Track and report on service delivery KPIs, vendor performance, facility utilization, and workplace satisfaction metrics. 

  • Prepare reports and presentations to leadership on project statuses, cost efficiencies, and operational service effectiveness. 

Qualifications

  • Service-Oriented: Deep commitment to providing a supportive and responsive employee experience. 

  • Bachelor’s degree in Business Administration, Operations, Facilities Management, or related field preferred. 

  • 5+ years of experience in operations, facilities, or office management, preferably in a dynamic, growth-oriented environment. 

  • Proven ability to manage facilities projects, vendors, and internal service operations. 

  • Excellent interpersonal and communication skills with a strong customer-service orientation. 

  • Strong organizational, project management, and problem-solving skills. 

  • Proficiency with office management systems, software and tools. 

  • Operational Excellence: Ability to streamline and sustain efficient operations that support company growth. 

  • Initiative & Ownership: Self-starter who proactively addresses operational needs without waiting for direction. 

  • Communication: Clear, professional communicator capable of building trust across all levels of the organization. 

  • Collaboration: Works cross-functionally to align operational services with organizational goals.
