The Role
The Operations Manager is a highly visible and trusted figure across Flint’s international network, acting as a first point of contact and general adviser for Partners, Senior Advisers and colleagues on the full range of operational, workplace and business-support matters. Based in one of our European or APAC offices, the postholder combines hands-on ownership of office management, executive support and technology onboarding with a broader remit: spotting issues before they escalate, connecting the right people across the business, and providing sound, practical guidance to colleagues at every level.
The Operations Manager also plays a central role in shaping the day-to-day experience of Flint’s offices. As a trusted point of contact, they provide continuity, practical support and a consistent presence for colleagues and visitors alike. Through their oversight of the work environment and proactive approach to support, they help create a workplace that is welcoming, well-organised and enjoyable to be part of. Role holders take genuine pride in this aspect of their role, recognising the important contribution they make to both the culture and the smooth running of the business.
Key Responsibilities
Trusted Advisor & Business Partner
- Act as a first point of contact and general adviser for Partners, Senior Advisers and staff on operational, workplace and business-support matters, using sound judgement to resolve issues directly or escalate them appropriately
- Build strong working relationships across regional offices and functions (HR, IT, Marketing, Finance) to provide joined-up advice and resolve cross-functional issues efficiently
- Act as a trusted and discreet sounding board for colleagues raising day-to-day queries or concerns, maintaining confidentiality on sensitive matters
- Develop a strong professional network and profile across the business, becoming a recognised go-to contact for practical guidance and support
- Identify opportunities to improve office processes and share best practice across the international network
Partner & Senior Advisor Support
- Provide diary support for designated Partners on an agreed basis, helping to protect their time for client and business priorities
- Act as a coordination point between regional Partners and other EA or operations functions, ensuring consistent and joined-up support
- Assist with Senior Advisor administration, including timesheet reminders and scheduling (in the relevant region only)
- Arrange ad hoc travel booking when required
Office Management
- Act as the primary liaison and trusted point of contact with the workspace provider, managing Flint’s requirements and resolving operational issues on the business’s behalf
- Maintain a professional and well-presented office environment, ensuring all areas are tidy, fully stocked and organised
- Advise and support Partners in the evaluation and selection of new office space as required
- Own Health and Safety compliance for the office, maintaining logs, organising first aiders/fire marshals and assisting with risk assessments
- Maintain petty cash and manage receipts/expenses as required
- Organise suppliers, deliveries and local maintenance (e.g., coffee machine, flower supplier, cleaners, printer, caterers, etc.) as needed
- Assist in answering and maintaining the mainline telephone, often the first point of contact for the business
- Champion team morale through the organisation of wellbeing initiatives and the celebration of local holidays and key events
- Own the distribution of office-wide communications relating to building and wellbeing matters
- Maintain and update country-relevant Intranet pages, ensuring colleagues have access to accurate, current information
Events & Client Support
- Provide guest and reception support, acting as the face of Flint and ensuring a professional and welcoming office environment
- Provide meeting room support, including booking and setup as required
- Provide operational support for client events, including logistics and coordination
- Lead the planning and delivery of regional away days and team social events
- Support Partner and group events where required
New Joiner Technology & Systems
- Coordinate and order laptops and other IT equipment for new joiners, supporting physical set-up with the IT team when needed
- Liaise with the IT team to ensure new joiners are set up on relevant systems
- Manage distribution list requests, ensuring timely and accurate updates (in the relevant region)
- Process SharePoint access requests for new and existing employees
- Order and distribute PC consumables as required
New Joiner Onboarding
- Coordinate new joiner induction logistics, including scheduling and room arrangements, acting as their first point of contact into the business
- Liaise with Marketing on new joiner requirements and communications, including photo requirements
- Support new starter fire/health and safety training and additional risk assessments if needed
What we are looking for
Skills & Experience
- Proven experience in an operations, office management or EA role, ideally within a professional services environment
- Strong organisational skills with the ability to manage multiple priorities simultaneously
- Excellent attention to detail and a proactive approach to problem-solving
- Confident, credible communicator, comfortable advising and liaising with colleagues at all levels of seniority, including Partners
- Sound judgement, with the ability to assess issues, provide practical guidance, and know when to escalate
- Familiarity with IT systems and office technology; comfortable processing access and distribution requests
- Experience working with workspace or facilities providers
