Are you a detail-oriented professional with a knack for organization and a passion for supporting business operations?  We are seeking an Operations Coordinator II to join our team and play a pivotal role in ensuring smooth and efficient workflows!
Job Summary
Coordinates and performs work that is varied and generally administrative, such as keyboarding, scheduling, maintaining files, and correspondence associated with a manager or director and employees within one or more business groups, handling confidential matters with discretion. Compiles and analyzes information for inclusion in reports or presentation materials, prepares charts, graphs, or tables. Possesses strong communication, interpersonal, administrative skills and a broad understanding of company operations, procedures, and personnel.
This is a hybrid role reporting out of our Beloit, WI or surrounding area office.

What you will do
  • Develops and/or maintains moderately complex computer applications, including documents, forms, spreadsheets, charts, graphics, and presentations, and databases. Establishes and maintains supervisor and/or business group filing system for business records. May provide back-up administrative support to other business groups or company executives.
  • Corresponds and maintains positive and effective relationships with internal personnel, outside agencies, vendors, and other organizations. Handles a variety of information requests, and gives and takes messages for supervisor and business group.
  • Utilizing appropriate judgment, opens, reviews, and routes mail; handles and composes administrative correspondence, such as emails, letters, memos, reports, and summaries, including some of a sensitive nature. Transcribes meeting notes, business documentation, and handwritten information, and proofs documents. Processes confidential information and documents, and handles confidential matters with discretion.
  • Coordinates business travel arrangements, including itinerary, registration, transportation, and accommodations. Arranges and coordinates internal and external meetings, including meeting materials, facility, equipment, and technology arrangements.
  • Performs special projects as assigned, including coordinating, preparing and assisting with reports and summary information, including operating reports and strategic plans, assisting with budgets, and the research and compilation of information.
  • Assists supervisor and business group to achieve company financial goals by scrutinizing expenditures for errors and/or identifying avenues to reduce expenses. Processes invoices, vouchers, requisitions, and expense reports for supervisor and business group. May monitor business group performance against budgets and work with financial analysts to review business group expenditures and financial outlooks.
Education Requirements
  • Associate Degree Emphasis in word processing, clerical support, administrative support or related area Preferred

Required Experience
  • 3 years of related experience

Preferred Experience
  • Experience supporting multiple business groups or supervisors

Knowledge, Skills, and Abilities
  • Demonstrated intermediate to advanced proficiency in the use of office equipment and computer software (Word, Excel, PowerPoint, Outlook). Intermediate to advanced knowledge of internet web browsers. Knowledge of Microsoft SharePoint preferred. Knowledge of Adobe Acrobat (PDF) software preferred.
  • Proficient and accurate typing skills required.
  • Demonstrated effective interpersonal, verbal, and written communication skills.
  • Intermediate to advanced proficiency in grammar, spelling, punctuation, proofreading.
  • Ability to perform accurately and effectively in a timely manner.
  • Ability to handle confidential matters discreetly.
  • Effective planning and organizational skills.
  • Ability to carry out duties with minimal supervision.
  • Works in a diverse and inclusive environment.

Pay Range:

$22.00-$25.50/hour

This position is eligible to participate in the annual incentive program. The final salary offered will generally fall within this range and is dependent on various factors including but not limited to the responsibilities of the position, experience, skill set, internal pay equity and other relevant qualifications of the applicant.
