We are seeking an Operations Associate to join our Scientific Communications (SciComms) team and manage the end-to-end operational engine for scientific/clinical publications and presentations. In this role, you will be responsible for the day-to-day management of our digital infrastructure, ensuring our publication management system, communication channels, and document repositories are accurate and up-to-date.
Working alongside PhD-level scientific writers and researchers, you will lead the technical logistics of the publication lifecycle and help remove administrative friction. You will have the opportunity to collaborate with interdisciplinary teams of research scientists, medical professionals, medical science or scientific affairs liaisons, and/or commercial and academic partners to help streamline the process of sharing important research insights with the medical community.
Key Responsibilities:
Maintain the publication tracking system, slack integrations, and Google Drive repositories to ensure data synchronization and facilitate communication across the organization.
Partner with scientific writers to lead publication execution logistics, portal management, and document reformatting to meet journal/conference standards.
Own the updates and maintenance of our public-facing publication webpage, ensuring it serves as a live, accurate showcase of the organization's scientific contributions.
Monitor publication and relevant industry alerts to maintain a comprehensive publication archive.
Champion process improvements by identifying workflow inefficiencies and building automated solutions to streamline conference and publication output and reporting.
Manage publisher subscriptions and publication-related listservs.
Required Qualifications
2+ years of experience in scientific/medical communications or clinical operations setting.
Growth mindset and high level of commitment to learning and managing project management tools (e.g., Coda).
Exceptional attention to detail and organizational skills.
Familiarity with the manuscript submission process and ability to apply journal-specific requirements.
Clear and effective communication skills; Professional diplomacy when interfacing with internal and external collaborators.
Preferred Qualifications
Project Management Professional (PMP) a plus but not required if the candidate has direct experience.
Familiarity with GPP/ICMJE guidelines and Creative Common licenses.
Familiarity with scientific communication and/or research ethics tools.
Experience with the Google Workspace suite for document organization.
Illinois Pay Range: $54,000-$75,000
The expected salary range above is applicable if the role is performed from California and may vary for other locations (Colorado, Illinois, New York). Actual salary may vary based on qualifications and experience. Tempus offers a full range of benefits, which may include incentive compensation, restricted stock units, medical and other benefits depending on the position.
