The Role

The Operations Assistant will provide office support to all staff and perform a variety of administrative and Broker Management System functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Prepare deposit and process through FTNI system.
  • Receptionist duties including screening and routing calls and voicemail messages and maintaining voice-mail system.
  • Greet visitors and vendors.  Ensure reception area is maintained.
  • Route all incoming faxes in a timely manner.
  • Process all incoming mail, including overnight mail.  Stamp and scan and attach in EPIC.
  • Process all outgoing mail, including overnight mail.
  • Maintain supplies inventory by checking stock to determine level, placing orders, and verifying receipt.
  • Conference room maintenance and meeting coordination.
  • Monitor and maintain office equipment, including copiers, label printer, scanner, and postage machine.
  • Kitchen maintenance.
  • Assist Account Managers/Producers with preparation of client documents – copying, sorting, packaging, mailing.
  • Perform EPIC control functions, including applying credits to debits, review of unapplied payments and HFC activities, and policy invoicing.
  • Other EPIC and BenefitPoint data entry as assigned.
  • Other reasonable duties as assigned by your supervisor.

WORK EXPERIENCE REQUIREMENTS

  • Insurance agency or broker experience preferred
  • Exceptional customer service skills
  • Excellent organizational, interpersonal, communication skills
  • Proven ability of working in a successful team environment
  • Strong data entry skills
  • Ability to exercise independent judgment Proficient in Microsoft Word, Excel, Outlook, and internet utilization
  • EPIC Agency Management System experience preferred but not required

Department Office Administration & Clerical

Required Experience: 1-2 years of relevant experience

Required Travel: Negligible

Required Education: High school or equivalent
