Summary: 

The Operations & Process Specialist plays a critical role in ensuring the accuracy, efficiency, and scalability of core operational processes. Reporting to the Senior Operations Manager, this role supports the daily execution of operations while actively contributing to continuous improvement initiatives that enhance data integrity, workflow performance, and cross-functional collaboration. 

This individual partners closely with the Operations, Agent Support, and Member Care teams to ensure member data is accurate, operational workflows are executed correctly, and service requests are completed efficiently. The role requires strong attention to detail, critical thinking, and comfort working with large volumes of data, along with the ability to document processes clearly and communicate effectively across teams.

Key Responsibilities 

Operations Support & Data Integrity 

  • Maintain the accuracy, consistency, and completeness of data in our CRM. 
  • Identify, investigate, and resolve data discrepancies, ensuring issues are documented and addressed in a timely manner. 
  • Serve as a subject-matter resource for assigned operational workflows, ensuring adherence to established guidelines and best practices. 

Reporting & Analysis 

  • Track, monitor, and report on key operational metrics and workflow performance. 
  • Analyze trends and recurring issues to surface insights and improvement opportunities for leadership and cross-departmental teams. 

Cross-Functional Collaboration 

  • Partner with Operations, Agent Support, and Member Care teams to ensure alignment on processes, priorities, and service request completion. 
  • Communicate clearly and proactively with teams regarding workflow status, data issues, and process updates reported to operations inbox. 

Process Ownership & Continuous Improvement 

  • Conduct regular audits of operational workflows and member data to ensure accurate rates and product assignments. 
  • Act as process owner for assigned weekly and daily workflows, which includes maintaining process documentation and recommending enhancements for those processes. 
  • Support department initiatives, special projects, and process improvement efforts. 
  • Assist in testing, documenting, and rolling out process updates or system changes. 


What You Bring 

  • Strong attention to detail and a high level of accuracy when working with data and processes. 
  • Analytical and critical-thinking skills with the ability to identify patterns, issues, and improvement opportunities. 
  • Comfort with navigating multiple systems or tools. 
  • Strong organizational skills with the ability to manage multiple tasks and priorities. 
  • Clear written and verbal communication skills and a collaborative mindset. 
  • A proactive, positive attitude and eagerness to learn and grow within an operations environment. 


Qualifications  

  • 1–3 years of experience in operations-related role (insurance or financial services experience preferred).  
  • Exceptional attention to detail with the ability to identify and correct numerical or data inconsistencies.  
  • Strong analytical and problem-solving skills; proficient in Microsoft Excel (formulas, pivot tables, lookups).  
  • Excellent communication and relationship-building skills; able to collaborate effectively across teams.  
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.  
  • High level of integrity, discretion, and professionalism when handling sensitive financial information.  
  • Associate’s or Bachelor’s degree in Business, Accounting, Finance, or a related field preferred (or equivalent experience).
