Position Summary:

Florida Atlantic University is seeking an Operations and Budget Coordinator - Boca Raton, FL.

Summary of Responsibilities:

  • Perform budget reports and track account balances.

  • Assist the Associate Director/Director of Research Programs by helping submit budget amendments, costing allocation changes, and accounting adjustments.

  • Provide administrative support to the Associate Director/Director of Research Programs, the Executive Director, and the Institute team.

  • Assist team by submitting expense reports, spend authorizations, and requisitions for purchasing.

  • Answer phone calls, schedule meetings, and attend to guests/students/office/lab issues when needed.

  • Maintain proper records of important documents.

  • Provide comprehensive support for the unit’s research lab facilities, including orders, repairs, and maintaining inventory of equipment.

  • Perform HR functions for the unit, including submitting job requisitions, assisting with recruiting and onboarding, helping pay student stipends, and helping submit visa application paperwork.

  • Cross-train and serve as a backup to the Office Administrator or other team members as needed.

  • Organization and facilitation of unit events, informational sessions, and general faculty meetings. Responsibilities include event planning, coordination with internal and external stakeholders, budget management, and post-event assessments to ensure continuous improvement in engagement and satisfaction.

  • May assist with research programs, grant tracking, and attend research trainings when needed.

  • Enter tuition waivers for students in accordance with university policy.

  • Assist with writing and editing newsletter material and assist with managing and updating the unit's website content to ensure accuracy, relevance, and engagement. This includes publishing news articles, creating flyers, updating research achievements, event information, and resource links. Collaborate with Research Communications to maintain site functionality, improve user experience, and enhance the visibility of departmental programs.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Preferred Qualifications/Skills:
Degree in finance, accounting, or business.
Experience in Research administration.
Experience using Workday.

Salary:

$55,000 - $65,000 per year.

Work Days and Hours:

Monday - Friday, 8 a.m. - 5 p.m. Some nights and weekends as needed. In addition, some after hour meetings, and communication with faculty and director.
