The Operations Analyst schedules the 100+ person newsroom, and the Digital Video and Radio Administration teams. This position ensures that all schedules and shifts are current and accurate.  This position also provides various types of project management support to the Content department, including meeting facilitation with newsroom senior managers and auditing and correcting timesheets for the departments of News, Podcasts, Digital Video and Radio Administration . It is essential that this position work proactively and takes a holistic approach to supporting the departments, and is able to keep calm under a variety of high stress circumstances.  The Analyst will be expected to handle confidential data securely and with discretion. 
Essential Functions: 
  • Planning, publishing and maintaining daily and weekly assignments and shifts, including holidays, vacation leave, Live Events support and other assorted special news assignments.  Insure information is up-to-date and accurate.  Maintain meticulous schedules and shifts to support the departments, our clients and represented staff. Communicate with employees to determine availability.  Message potential conflicts and/or staff shortages in a timely manner for prompt resolution.
  • Backfilling for Senior Operations Manager as needed, stepping in as the primary scheduling authority in meetings with senior leaders for the departments of News, Podcasts, Digital Video, Live Events and Radio Administration. 
  • Backfilling for TV, FM, and Facilities Scheduling as needed, posting daily and weekly TV and FM schedules, entering production work orders, and covering sick calls. 
  • Serve as primary SME on SAG-AFTRA and CA Wage and Hour Law for the newsroom in regards to scheduling, and time off and being able to educate employees and their managers on those. 
  • Managing projects in relation to extended staffing vacancies – including the annual reporter rotation, SAG-AFTRA extended leave program, winter holidays where we receive a high-volume of extended periods of vacation, and assisting the Senior Operations Manager with higher-level projects.
  • Understand scheduling needs as they apply to labor and projects ensuring that scheduling is done efficiently with an emphasis on controlling costs. Inform the Senior Operations Manager and Content Finance Manager when there are potential costs over runs due to OT, weekend work, etc.
  • Ensure that employees with the proper skill levels and training are assigned to the appropriate project through collaboration with Senior Editor of Talent and Development and HR to maintain adequate benches for backfill. This includes ensuring employees have the appropriate job offer on file, working with employees, managers, teams, and Editor of Talent and Development to facilitate trainings on productions. Circling with all appropriate parties to ensure training was successful, and updating in the scheduling software – SnapSchedule 365 – that employee skills are accurately reflected, to make them eligible for working shifts.  
  • Create and review schedules and shifts, and utilizing key scheduling tools such as SnapSchedule 365, Outlook, and Dayforce HCM and demonstrate a willingness and ability to adapt and learn new systems as appropriate. SME for SnapSchedule 365 – which includes full administrator access, and consists of managing 100+ user profiles, creating, updating and maintaining the News schedule template, and creating and exporting reports as needed. Work directly with SnapSchedule’s support team to resolve issues that come up. 
  • Organize and track a high-volume of employee Limited Term contracts for represented staff. Communicating to managers when contracts will be ending, and flagging to managers when an on-call might need to enter an LT contract due to the volume of shifts they are scheduled for. 
  • Fully own the timesheet process for 100+ newsroom employees, coming out to 1200+ individual entries, including training new hires on entering charge outs, auditing for department and project charge outs, flagging OT and/or premiums that were unscheduled, reviewing that the proper job has been allocated to each entry, and following up with Managers/Employees to ensure that timesheets are entered correctly before the pay period is completed. The Analyst will also be the primary Dayforce SME for newsroom employees, able to train and answer questions that managers and staff might have in regards to entering timesheets, or submitting time off. 

Knowledge/Experience Required:
  • Bachelor’s degree
  • Knowledge of TV or Radio broadcast operations.
  • Understand how to apply work place policies, labor union, jurisdictional demands and best business practices to scheduling procedures
  • Understand technology tools used to create schedules such as ScheduAll, Excel, Google Drive, Google Docs, and Outlook
  • Excellent communication and listening skills
  • Must be a creative problem solver 

Knowledge/Experience Desired:
  • Knowledge of scheduling software programs 
  • Demonstrated understanding of broadcast production assets and equipment
  • Demonstrated understanding of basic TV and Radio Broadcast terminology
  • Operates with a sense of urgency
