What You'll Gain / Impact:
- Direct ownership of mission-critical billing and account lifecycle processes that drive firm revenue.
- Hands-on experience with portfolio accounting, CRM, and custodial platforms used across the wealth management industry.
- Opportunity to contribute to automation development and a Salesforce Financial Services Cloud migration that will shape how the team operates.
- A clear path to deepening your RIA operations expertise within a growing, high-caliber firm.
Key Responsibilities:
- Set up clients, households, registrations, and accounts across portfolio accounting and CRM platforms, maintaining data accuracy and system-to-system consistency.
- Process account closings and terminations, including final fee treatment and status hygiene.
- Maintain the account attributes billing depends on — fee schedule, billing group, and custodian flags — so accounts are billing-ready the day they fund.
- Run first-line quality control on new account data, including naming conventions, contact information, household grouping, and client category classification.
- Validate new and changed account records against source documentation and resolve missing or conflicting data before downstream billing or reporting is affected.
- Monitor daily account and household exception reports for orphaned registrations, duplicate records, and accounts that fail established readiness controls.
- Run the advisory fee billing cycle end to end, including pre-bill review, cash adequacy check, fee calculation review, custodial fee submission, and post-submission reconciliation.
- Own the month-over-month billing review at the household and account level, and explain every material variance before the cycle is released.
- Research fee exceptions — including partial-period billing, terminated accounts, manual adjustments, non-billable assets, and cash shortfalls — and document the final treatment before release.
- Prepare per-advisor billing review packages and respond to advisor questions on fee outcomes.
- Maintain a forward billing calendar identifying monthly and quarterly deadlines, off-cycle adjustments, and dependencies requiring advisor or accounting input.
- Track recurring billing exceptions and trend them by cause to support control enhancements or automation requirements.
- Serve as the first point of contact for advisor and service team questions on account setup, terminations, and fees
- Investigate breaks between systems and document the cause, not only the fix.
- Identify patterns in recurring inquiries and data breaks, and surface themes that warrant training, workflow. improvements, or upstream data-quality corrections.
- Escalate with a recommendation and the supporting evidence.
- Maintain standard operating procedures and checklists for every recurring process owned, keeping them current as processes evolve.
- Run Python-based operational tools in production, test enhancements, and contribute business requirements based on data findings.
- Support Salesforce Financial Services Cloud migration workstreams, including household hierarchy, account structure, billing workflow mapping, and data validation.
- Maintain recurring control evidence, exception logs, and reconciliation support so processes can be reproduced and reviewed without reliance on individual knowledge.
Candidate Qualifications:
- Two or more years in wealth management, RIA, broker-dealer, custodian, or fund administration operations.
