JOB DESCRIPTION SUMMARY:
We are looking for a detail-oriented Operations Analyst to support our internal operations and people teams. This is a cross-functional role that spans system administration, data integrity, employee training processes, as well as supporting ad hoc projects and initiatives. You’ll work closely with our operations leads to keep our platforms and systems accurate, our colleagues set up for success, and our training resources polished and up to date.
System & Data Integrity
- Manage and reconcile Ascend identifiers within our accounting partner system to ensure accurate, up-to-date records in the customer relationship manager platform (CRM)
- Perform regular data audits between systems to identify and resolve discrepancies
- Runs reports and maintains clean, consistent data across all integrated platforms
User & Account Management
- Create and manage colleague profiles in insurance platforms
- Provision new user accounts in various systems (such as e-signature platform, accounting system, etc.) as part of the colleague onboarding process
- Ensure timely and accurate setup of all system access for incoming colleagues
- Coordinate offboarding access removal when applicable in collaboration with HR and the Operations team.
Onboarding & Training Support
- Assist with new colleague onboarding logistics, including schedule creation and onboarding calendar management
- Co-facilitate core tools training sessions alongside the operations lead, with a path toward leading sessions independently
- Support a smooth day-one experience by coordinating across teams to ensure onboarding is structured and consistent
- Lead content export projects and ongoing maintenance of training modules in Learning Management System (LMS)
- Compare, update, and refresh learning resources to keep information accurate and current
- Issue benchmark assessments and track completion as directed
Branding & Resource Formatting
- Apply updated branding guidelines to internal resources, templates, and training materials
- Ensure consistency and visual cohesion across all people ops and business ops documents
- Support the creation of new materials that align with current brand standards
General Business Operations Support
- Serve as an internal point of contact for platform access and account-related questions
- Document operational processes and keep standard operating procedures up to date
- Identify opportunities to streamline recurring workflows and improve operational efficiency
- Support the ops team with ad hoc projects and administrative tasks as needed
Qualifications Required
- 1–3 years of experience in operations, administration, or a similar role
- Strong attention to detail and data management, especially when working with data across multiple systems
- Comfortable learning new software platforms quickly and in a fast-paced environment
- Highly organized with the ability to manage multiple recurring tasks simultaneously
- Collaborative, clear, and proactive communicator with strong interpersonal skills
- A self-starter who takes initiative to identify problems and figure out practical solutions
Nice to Have
- Prior experience with Salesforce, DocuSign, or similar business tools
- Familiarity with a learning management system (Canvas or similar)
- Eye for design and experience applying brand guidelines to documents or templates
- Familiarity with accounting or CRM data workflows
- Experience in a startup or fast-paced operations environment
