Job Summary
The Operational Technology (OT) Project Coordinator is responsible for supporting the planning, coordination, execution, and tracking of Operational Technology initiatives across UFP Packaging manufacturing facilities. This role partners closely with the OT Project Manager, OT Engineers, Plant Leadership, Maintenance Teams, Engineering, IT, and third-party vendors to ensure successful delivery of automation, infrastructure, cybersecurity, MES, SCADA, industrial networking, and smart manufacturing projects.
The OT Project Coordinator serves as the organizational backbone of the project team by managing schedules, documentation, communications, action items, budgets, vendor coordination, and status reporting. This position is instrumental in driving digital transformation initiatives and ensuring projects are delivered safely, on time, and within budget.
Principle Duties and Responsibilities
Partner with all functions, especially Manufacturing or supplier to organize and support critical aspects to meet customer delivery
Demonstrated ability to facilitate meetings, lead discussions, and present project updates to cross-functional teams. Public speaking experience preferred.
Support the implementation of Operational Technology projects across multiple manufacturing facilities.
Coordinate project schedules, site activities, equipment installations, system deployments, and commissioning efforts.
Track project milestones, deliverables, risks, and dependencies.
Maintain project plans and ensure project information is accurate and current.
Monitor project progress and escalate issues that may impact cost, scope, quality, or schedule.
Coordinate startup and go-live activities for OT systems and plant technology deployments.
Documentation & Reporting
Maintain project documentation, meeting minutes, action item logs, change requests, and project records.
Cross-Functional CollaborationCoordinate activities between Operations, Maintenance, Engineering, Production, Safety, IT, and OT teams.
Schedule and facilitate project meetings, workshops, and project reviews.
Act as a communication liaison between plants, vendors, contractors, and internal stakeholders.
Track open action items and ensure accountability among project participants.
Coordinate vendor visits, equipment deliveries, and contractor activities.
Assist with procurement requests, project quotations, purchase orders, and invoice tracking.
Monitor vendor deliverables and support adherence to project timelines.
Support project managers in managing third-party relationships and service providers.

Qualifications
Bachelor's Degree and/or equivalent experience
5+ years of administrative/project coordination experience
Must have the ability to demonstrate experience in creating and maintaining spreadsheets utilizing MS Office programs
Intermediate to expert level of MS Word, Excel, Planner, PM software, etc.
An understanding of MRP fundamentals is preferred
Highly effective computer skills, with demonstrated knowledge of ERP systems
Experience in wood/metal manufacturing environment is a plus
Must be able to work independently while multi-tasking
Excellent verbal and written communication skills required
Organizational skills and team player approach is critical
