We are seeking an organised, proactive and detail-oriented Operation Coordinator to support day-to-day operational activities across our UAE operations. The successful candidate will coordinate office and site logistics, support procurement and inventory activities, liaise with internal teams and external vendors, and ensure smooth administrative and operational workflows to help deliver projects on time and within budget.

Key ResponsibilitiesOperational Coordination
  • Coordinate daily operational activities across offices, workshops and job sites, ensuring effective communication between project teams, field staff and management.

  • Monitor project status and provide regular updates to project managers and stakeholders.

  • Assist in planning and scheduling of site activities, deliveries and contractor access to maintain project timelines.

  • Prepare and distribute operational briefs, meeting minutes and action trackers.

Procurement & Inventory
  • Raise purchase requisitions and coordinate with suppliers to obtain quotes, lead times and delivery schedules.

  • Manage inventory of consumables and spare parts, perform regular stock checks and liaise with warehouse teams to ensure adequate stock levels.

  • Track deliveries, inspect received goods and coordinate returns or replacements where required.

  • Support procurement processes, supplier onboarding and maintenance of supplier records.

Logistics & Vendor Management
  • Arrange transport, site access permits and logistics for materials, equipment and personnel.

  • Coordinate with third‑party service providers and subcontractors to confirm schedules, scope and compliance with safety and site requirements.

  • Maintain vendor contact lists and support vendor performance tracking and issue resolution.

Administration & Documentation
  • Maintain accurate operational records, purchase orders, delivery notes and service reports.

  • Prepare routine operational reports and dashboards for managers, highlighting risks, delays and resource constraints.

  • Support invoice verification, liaise with finance on payment queries and ensure timely submission of documentation.

  • Ensure all operational activities comply with company policies, quality standards and health & safety requirements.

Client & Internal Liaison
  • Act as a point of contact for internal teams and clients for operational queries and status updates.

  • Support coordination of site visits, client meetings and technical handovers.

  • Escalate operational issues promptly and follow up to resolution with relevant teams.

Qualifications
  • Diploma or Bachelor’s degree in Business Administration, Logistics, Supply Chain, Engineering or related discipline.

  • Valid UAE driving licence preferred.

  • Proficient with Microsoft Office (Excel, Outlook) and comfortable using CRM/ERP systems; experience with inventory or order-management systems is an advantage.

  • Good knowledge of operational procedures, procurement and basic inventory control.

Experience
  • 1–3 years’ experience in operations, logistics, procurement or coordination roles, preferably within construction, facilities, maintenance or industrial environments.

  • Experience liaising with suppliers, subcontractors and cross‑functional teams in a fast‑paced environment.

  • Previous exposure to UAE workplace practices and logistics is beneficial.

Skills & CompetenciesTechnical Skills
  • Strong organisational skills and proven ability to manage multiple tasks and competing priorities.

  • Good attention to detail and accuracy in documentation and data entry.

  • Ability to use Excel for basic reporting, tracking and analysis.
