Overview:

The Onboarding Specialist is an in-office position, responsible for providing a quality hiring experience in a high-volume, fast-paced environment. This position manages candidate onboarding activities from ‘offer-accepted’ to ‘hired’; this includes partnering with recruiters and hiring managers to ensure candidates are efficiently and expeditiously guided through the hiring process, while adhering to federal and state employment laws.

Job Description:

  • Contribute to a positive candidate experience by ushering candidates through all aspects of the onboarding process
  • Continuously monitor the applicant tracking system to ensure timely candidate flow and completion of tasks
  • Order pre-employment screening(s) as required, in a timely manner
  • Use good judgment (and appropriate resources) to disposition candidates according to client and company guidelines
  • Maintain a high-level of customer service during inbound/outbound calls
  • Communicate in a timely and professional manner with all candidates and internal stakeholders
  • Provide accurate and timely information in response to all inquiries and general correspondence
  • Constantly monitor dashboards in onboarding-related system(s) for pending tasks
  • Partner with HR/Legal regarding changing regulatory demands, as needed
  • Maintain excellent data integrity within all onboarding-related systems
  • Ensure adherence to FCRA, EEO, and all related employment laws
  • Manage and troubleshoot post-offer applicant tracking system access issues
  • Manage I-9 compliance and ensure timely completion of USCIS requirements
  • Perform all other duties as assigned

Qualifications:

  • High School Diploma or equivalent required
  • 1 - 2 years relevant experience in onboarding, human resources, or recruiting
  • Professional and friendly attitude; must be a team player
  • Previous data entry experience strongly preferred
  • Solid written and verbal communication skills, with attention to accuracy and detail
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational and problem solving skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service oriented attitude with excellent interpersonal and collaboration skills

Physical Requirements:

This is a ‘Sedentary’ position; there will be prolonged periods of sitting, exerting up to 10 pounds of force may be occasionally required. Additionally, this position will be required to:

  • Sit for 2+ hours per day
  • Hear alarms/telephone/tape recorders/horns/normal voices
  • Bend at waist, occasionally
  • Have clarity of vision
