The Onboarding Specialist plays a critical role in ensuring new Financial Advisors (FAs) and their teams experience a smooth, efficient, and positive transition into our firm. You will be responsible for guiding the onboarding process and facilitating the successful transfer of the advisor’s existing book of business from their prior firm. This position is hands-on and client- and advisor-centric, with the goal of minimizing disruption and maximizing satisfaction for both the transitioning FA and their clients. The role may require occasional travel to be on-site at new office locations to support account openings, facilitate the transfer process, and deliver hands-on training.

Key Responsibilities:
  • Work closely with all internal teams and external constituents (including custodians, prior firms, and transitioning advisors) to successfully onboard Financial Advisors and their support staff.
  • Become a subject-matter expert in our account opening processes, contact management systems, advisory platforms, and account transfer documentation to ensure a high-quality experience and drive maximum satisfaction for both advisors and clients.
  • Pre-plan for on-site visits in collaboration with the assigned Practice Development Partner, the Financial Advisor, and their team to ensure full readiness and tailor the transition strategy to the unique characteristics of the FA’s book of business.
  • Strictly follow established, proven processes to deliver a consistent, professional, and positive onboarding and transition experience every time.
  • Deliver comprehensive platform and technology training to Financial Advisors and their staff, equipping them to become proficient and self-sufficient with our systems as quickly as possible.
  • Maintain and monitor detailed transition tracking and reporting metrics on a daily basis, proactively identifying and resolving any bottlenecks to keep transitions on schedule.
Qualifications:
  • 2+ years of experience in financial services, preferably in advisor onboarding, transition management, operations, or client service within a wealth management or brokerage environment.
  • Strong working knowledge of account opening procedures, ACAT transfers, custodial platforms, and advisory technology systems.
  • Excellent organizational and project management skills with the ability to manage multiple transitions simultaneously while maintaining high attention to detail.
  • Proven ability to build strong working relationships with advisors, support staff, and internal partners.
  • Comfortable traveling occasionally to support on-site onboarding activities.
  • High degree of professionalism, adaptability, and a solutions-oriented mindset.
  • Series 7 and 66 (or equivalent) licenses are a plus, but not required.
Compensation:

This is a 1099 independent contractor position with a competitive compensation structure equivalent to a base of $65,000 – $75,000 (based on experience). There is a clear plan and opportunity to transition to full-time W2 employment as the firm continues to grow and the role evolves.
