Corporate Communication Services is the division within the business unit of Issuer Services in Computershare responsible for assisting shareholders of our clients with their portfolios and supporting companies to manage their relationships with investors effectively with the highest standards of regulatory compliance across the world.

An exciting new opportunity has recently opened under CCS department. This is a 1-year contract role to handle administrative tasks and support in the event of peak season.

A role you will love

The Officer role is responsible for the daily operations of Corporate Communication Services, including printing and mailing, and assist Assistant Manager or above to ensure that good quality services are provided to issuers in an effective and efficient manner.

This role will work closely with the team and external stakeholders to ensure all tasks are delivered on time and accurately, which could reach service delivery levels and report to Assistant Vice President. In addition, the Officer will also support administration works and other ad hoc projects if necessary.

Some other key accountabilities will include:

•    Prepare guidelines and posting statement sheets for daily tasks to ensure all printing and delivery on schedule. All details are complete at the supervision level. 
•    Arrange corporate communication dispatches on schedule. Input mailing schedule in an accurate manner. 
•    Corporate with internal team and the outsourcing vendors for the resource’s planning / schedule for the dispatch jobs.
•    Arrange daily certificate stationery and generate certificate usage report and run for 150+ companies.
•    Inventory control for the envelopes stock, request for replenishment when envelopes behind from the demand forecast.
•    Collaborate with team members for accurate and efficient performance of printing & mailing duties.
•    Provide 2nd level checking for special tasks.
•    Assist for preparing the team procedural manual and training materials for cross team training if necessary.
•    Ad-hoc tasks as required, e.g. project participation.

What will you bring to the role?  

To be successful in this role, you must have excellent interpersonal skills; basic knowledge in operations or financial printing with skills in artwork and design; excellent time management and the ability to work under pressure.

Some other key skills required for the role:

•    University graduate with bachelor’s degree (or above) in business related discipline
•    Minimum 1-3 year of working experience in operations, financial printing or design.
•    Experience in handling corporate action projects or corporate clients is an advantage.
•    Attention to detail and track record of producing high-quality work.
•    Resilient and composed under pressure, proactive, self-motivated, take ownership/responsibility for own work and work of others.
•    Excellent time management and problem-solving skills. 
•    Proficient in Microsoft Office (Word, PowerPoint, Excel, etc). 
•    Knowledge in artwork and design software applications will be an advantage.
•    Excellent communication skills, fluency in English, Mandarin and Cantonese

Skills Required
