You are the connecting force in our Rotterdam office - keeping the financial administration accurate and the day-to-day operations running smoothly. You'll work closely with the Financial Controller and the Project Manager, switching naturally between an accounts payable run in the morning and arranging a transport in the afternoon.
Process accounts receivable and accounts payable, prepare memos and bank payments, and support the Financial Controller during month-end closing and financial controls
Manage the purchasing administration, maintain contact with suppliers, and coordinate purchasing and transports together with the Project Manager
Take care of facility matters — orders, post, transport, maintenance and office supplies — and ensure a pleasant, well-organised working environment
Maintain contact with the landlord, IT supplier and other service providers
Set up and maintain office files, records and registrations, and prepare communications, memos, reports and meeting minutes
Co-ordinate meetings, training programs, conferences and hospitality arrangements in collaboration with the respective departments
Support the onboarding of new colleagues — workspace, keys, materials — and signal where administrative or office processes can be improved
Organisation is in your DNA. You enjoy creating structure, anticipating what colleagues need before they ask, and switching fluently between administrative precision and hands-on coordination. Further, you have:
MBO+ / HBO working and thinking level in administration, finance or business operations
Experience with financial administration and an accounting system
Strong command of the English language (our working environment is international)
A hands-on, proactive mentality with a strong sense of structure
The ability to work independently while staying approachable and communicative
