Job Summary:
This recruitment will be used to fill one full-time Office Specialist 2: Ecampus Application Evaluator position for the Office of Admissions at Oregon State University (OSU).
Key Responsibilities:
- Process Applications: Determine which documents are necessary for applicant files to be completed for evaluation. Evaluate credentials for admission eligibility for all undergraduate domestic students, particularly those for the Ecampus. Determine if student level is correct and change in CRM and Banner SIS when appropriate. Research transfer institutions to determine if OSU recognizes them and they meet transfer guidelines. Evaluate credentials for admission eligibility of first-time freshman, transfers & post-baccalaureate (postbacc) applicants. Compare credentials of applicants against stated requirements for eligibility. Fill out an informational reader form for each applicant to document their review process and eligibility for admission. Make appropriate admit decisions based on requirements, and in cases where qualifications are marginal, refer file to secondary review process (Holistic Review). Determine residency based on student responses on application or refer to secondary residency review. Explain formal appeal process rights to students. Process suspended or errored WEB applications in Banner SIS. For postbaccs, prepare & forward application materials to appropriate departmental review or review according to admissions requirements specific to this population.
- Process Change Forms: Process all campus, term and major changes for prospective Ecampus students in CRM. Create new applications in CRM for campus and term changes. Determine if student level is correct and change in CRM and Banner SIS when appropriate.
- Respond to Emails & Attend Meetings: Respond to student inquiries & OSU departmental requests via email. This will include communicating time sensitive information to students. Maintain communications appropriate for audiences from diverse backgrounds and cultural identities. Use chat communication (Microsoft Teams) and email to work closely with colleagues and supervisors when unsure of appropriate procedures. Attend meetings with direct supervisor, monthly town halls, and department-wide meetings for information-sharing and training purposes.
- Other Duties As Assigned: Provides operational support during peak periods by assisting with other unit responsibilities as needed for comprehensive coverage. Participates in professional development events or opportunities and serves on search committees.
The processes housed within the Office of Admissions include the recruitment of prospective students, responding to requests for admission, providing general university, specific program, and admissions process information, and processing applications from all persons seeking entry to Oregon State University. This position will work closely with Ecampus Enrollment Services to triage issues that directly affect admissions.
The purpose of this position is to process documents, evaluate credentials, maintain applicant files, and make admissions determinations, while applying state system, university and office regulations and requirements. This position may provide information to campus faculty, academic advisors, high school and college counselors, and students both prospective and current. Software used in this position include Banner Student Information System, OnBase document imaging management system, Slate CRM, Smart Panda Raptor OCR and Microsoft Office.
Required Qualifications:
Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
An Associate's degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
Additional Required Qualifications:
- Experience with using computers and computer software to ensure accurate and efficient data entry.
- Demonstrated competency in Microsoft Windows and Microsoft Office Software Suite.
- Demonstrated professional communication skills with the ability to communicate with diverse audiences.
Ability to:
- Independently research, assess, and retrieve information from the Internet.
- Receive and provide information in person, by phone, or electronically.
- Explain information regarding specific programs or services clearly. Provide in-depth technical information regarding policies, procedures, and programs to applicants and university colleagues and partners.
- Sit at a keyboard/computer/workstation for the majority of a workday. Be proficient in typing using standard qwerty keyboard.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Preferred Qualifications:
- Competency in using Slate CRM, Banner SIS, and document management systems (i.e. On Base).
- Experience in higher education.
