The Role
As an Office Services Specialist, you will be a key member of the Bottomline team, responsible for supporting day‑to‑day office operations and delivering engaging workplace experiences. This role plays a vital part in creating a welcoming, efficient, and collaborative environment for employees based in Bottomline’s Portsmouth, NH office. You will work closely with cross‑functional partners to plan, organize, and execute internal meetings and events, while also providing administrative and facilities support that keeps the office running smoothly. This is a highly visible, in‑office role that interacts with employees across all levels of the organization.
Work Location: Onsite – Portsmouth, NH
Work Authorization

How You’ll Contribute
- Partner with cross‑functional teams to plan and coordinate internal meetings, events, and office‑based functions
- Collaborate closely with HR, Marketing, and Events teams to support day‑of event execution
- Manage catering orders for corporate functions, office social events, and team meetings
- Drive employee engagement through creative and thoughtful in‑office activities
- Reinforce workplace culture by maintaining an efficient, inviting, and well‑organized office environment
- Assist with office and facilities‑related work orders and service tickets as needed
- Support front‑of‑house operations, including reception coverage and employee assistance
- Arrange and set up furniture and equipment for meetings, events, and office activities
- Distribute internal communications related to events, celebrations, and announcements
- Track event‑related expenses and support budget management
- Coordinate with local vendors for quotes, procurement, and timely delivery of goods and services
- Meet regularly with facilities and events stakeholders to align on priorities and needs
- Perform additional duties as assigned to support business and workplace needs
