The Role

We are looking for a highly capable and pragmatic Office Operations Manager to oversee the smooth running of our Poland office. In this pivotal role, you’ll be the beating heart of our operations on the ground — ensuring compliance with local labour law, managing facilities, supporting employee engagement, and keeping everything moving efficiently.

Key Responsibilities

  • Office Management: Oversee day-to-day operations of the office environment, ensuring facilities, services, and equipment are well-maintained and support productivity.
  • Employee Relations Support: Act as the first point of contact for local staff issues and employee queries, escalating where necessary and supporting a positive working environment.
  • Labour Law Compliance: Ensure the office is fully compliant with Polish employment law, health & safety regulations, and company policies. Liaise with HR and Legal as required.
  • Administrative Oversight: Manage contracts with local suppliers and service providers, oversee budgets for office supplies, facilities, and events.
  • Onboarding & Offboarding: Support the onboarding of new hires and the offboarding of departing employees, ensuring a seamless process in partnership with the Talent and HR teams.
  • Workplace Culture: Help to maintain and grow a vibrant, inclusive office culture — organising local events, wellness initiatives, and engagement activities.
  • Reporting & Communication: Provide regular updates to the leadership team on office performance, staff sentiment, and operational issues.
  • Continuous Improvement: Identify and deliver initiatives to make the office more efficient, sustainable.

Skills & Experience

  • Proven experience in office management, operations management, HR administration, or similar roles within mid-sized businesses.
  • Solid understanding of Polish labour law.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • Comfortable managing budgets, negotiating with suppliers, and running projects end-to-end.
  • Excellent interpersonal skills — approachable, diplomatic, and confident working with staff at all levels.
  • Professional working proficiency in both Polish and English.
  • Strong sense of ownership and accountability, with a proactive approach to problem-solving.
  • Degree-qualified or equivalent professional experience preferred.
