Job Description:
We are seeking a highly organized, proactive, and service-oriented Office Manager / Executive Assistant to support our Redwood City headquarters and executive leadership team. This hybrid role combines operational excellence with executive partnership — ensuring our HQ runs smoothly while enabling leaders to operate at their highest effectiveness.
This person will be the heartbeat of the office: a culture ambassador, logistics expert, and trusted right hand to executives.
What You’ll Do
Office Management & Workplace Experience (HQ) (40%)
Oversee daily operations of the Redwood City headquarters
Serve as the primary point of contact for office vendors, building management, and facilities
Manage office supplies, inventory, equipment, and workspace organization
Coordinate onsite meetings, events, and company gatherings (All Hands, leadership offsites, team events)
Partner with IT and People teams to support onboarding and offboarding logistics
Ensure a welcoming, inclusive, and productive workplace environment
Maintain safety procedures and workplace compliance standards
Monitor and manage office budget and expenses
Executive Support (40%)
Provide high-level administrative support to designated executives (e.g., calendar management, travel coordination, expense reporting)
Manage complex scheduling across multiple stakeholders and time zones
Prepare meeting materials, agendas, and briefing documents
Coordinate executive travel logistics (domestic and international)
Assist with leadership onsite meetings as needed
Handle sensitive and confidential information with discretion
Cross-Functional Partnership (20%)
Partner with People, Finance, IT, and Legal to streamline internal processes
Support internal communications and culture-building initiatives
Identify opportunities to improve operational efficiency and employee experience
Serve as a go-to resource for employees visiting or working from HQ
What We’re Looking For
5+ years of experience in office management, executive support, or workplace operations in a fast-paced environment (preferably SaaS or tech)
Proven experience supporting senior executives
Exceptional organizational and time management skills
Strong written and verbal communication skills
Ability to anticipate needs and solve problems proactively
High level of discretion and professionalism
Experience managing budgets and vendor relationships
Proficiency in Google Workspace, Slack, Zoom, and expense management tools
Comfortable juggling competing priorities with a calm, solutions-oriented mindset

Compensation Pay Range:
$105,926.00 - $143,000.00Salary Information
The base salary range is specific to the United States. The salary of the final candidate selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, education, work location, specialty and training. If the final candidate has a different level of experience, the base salary target range may be lower or higher than what is published.
