ABOUT THE ROLE:
We are looking for an Office Manager who will create a welcoming, well-organized, and inspiring workplace experience for our employees and visitors. This role combines office operations, hospitality, facilities coordination, and employee experience, and is ideal for someone who enjoys working in a dynamic and people-focused environment.
This is an in-office role with fixed working hours (8:30am–5:30pm). Occasional overtime may be required during events or projects and will be fully compensated.
ABOUT THE TEAM:
Be part of a global (and truly international) People & Culture team, comprising 13 members from 11 different countries. We actively support over 300 Taloners across EMEA, AMER and APAC. Our focus spans People Operations, Talent Acquisition, Workplace Management, and People Business Partnering, all aimed at sparking inspiration among candidates, employees, and alumni.
ONCE YOU ARE HERE YOU WILL:
Office Experience & Operations
- Create a welcoming and professional office experience for employees and visitors, including candidates and partners
- Manage visitor coordination and ensure smooth check-in processes
- Order and manage office and kitchen supplies
- Track and manage the office budget
- Support office improvement and design projects
- Coordinate vendors and timelines for workplace initiatives
Facilities & Vendor Management
- Own relationships with landlord and building management
- Coordinate maintenance and service providers and ensure high service standards
- Supervise cleaning and office maintenance
- Monitor the overall condition and functionality of the office
Employee Experience & Community
- Support onboarding of new employees, including office tours and workspace preparation
- Plan and host office events such as happy hours, team lunches, and small community activations
- Manage swag inventory and workplace materials
Health, Safety & Workplace Systems
- Support health, safety, and security initiatives (e.g. first aid and fire warden training
- Track office attendance and manage the desk booking system
- Support workplace reporting and improvements
WHAT WE NEED YOU TO BRING TO THE TABLE:
- Fluent English
- German language skills at B1 level or higher
- Strong project management and organizational skills
- Hospitality-driven, people-first mindset
- Ability to work in a fast-paced and evolving environment
- Resilience, flexibility, and a growth mindset
Nice to have
- Background in office management, hospitality, gastronomy or retail
- Experience working in an international environment
- Familiarity with Google Workspace and project management tools such as Notion
- A valid category B driver's license
