The SuM Admin / Office Manager oversees office administration, coordinates team activities, manages resources, and drives efficiency within the organization. This role is the central point of contact for staff, vendors, and management, ensuring that processes, policies, and workflows are optimized to support a productive and compliant work environment. The position incorporates responsibilities in operations, records management, facilities, human resources support, and budget oversight.
Key Responsibilities:
- Coordinate and supervise daily office operations, including information management, supplies, and facility maintenance.
- Lead, train, and evaluate administrative staff, fostering a positive and collaborative team environment.
- Develop and implement office policies, standards, and procedures to improve workflow, productivity, and compliance.
- Manage office budgets, track expenses, process invoices, and prepare financial reports.
- Handle correspondence, scheduling, and communications for staff and management, including meeting and travel arrangements.
- Oversee vendor relationships and procurement of goods and services.
- Maintain both digital and physical filing systems, ensuring document organization and confidentiality.
- Assist in onboarding new employees, HR administration, and maintenance of personnel records.
- Organize internal events, team-building activities, and visitor management.
- Monitor compliance with safety, health, and regulatory standards.
- Prepare presentations, reports, and key communications as required by leadership
During the project phase:
- setup of controlled document library for the site. Support the quality and compliance team to achieve operational permit providing the relevant paper work and evidences 3 months prior to start-up.
- Creation of local operational vendors and partners in close collaboration with local and regional produrement team
- Close follow-up of SuM Budget with special focus on the procurement. PO creation and follow-up to ensure McCain processes consistency and compliance with local laws and regulations.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field is preferred; significant administrative experience may suffice.
- 2-3+ years of experience in office management or supervisory administrative roles.
- Strong organizational, time-management, and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and contemporary administrative software.
- Ability to manage budgets, analyze financial data, and generate reports.
- Discretion in managing confidential or sensitive information.
- Problem-solving mindset, adaptability to new technology, and capacity for continuous learning
- Fluency in German is required for this role
- English on business level; additional languages such as French, or Dutch is a plus.
