Credence has an immediate need for an Office Manager for our corporate headquarters office to support all of our facility operations. The successful candidate for this opening will have experience working as the primary liaison with building management teams and ensure compliance with building rules, lease agreements, and tenant manuals. Work experience coordinating facilities issues, service requests, office access, parking, fitness center access, and maintain the office seating chart and floor plan. Ensure the office environment is safe, functional, and professionally maintained at all times, with AED/CPR training certifications kept up to date.
Requirements
Responsibilities may include, but are not limited to the duties listed below:
Vendor & Maintenance Management
- Manage maintenance, repair, cleaning, and support vendors, including scheduling, oversight, and quality control.
- Evaluate vendor performance and recommend alternatives to maintain service standards and manage costs.
- Ensure office appliances and equipment remain in good working order.
Office Operations & Guest Experience
- Receive and welcome guests, ensure reception coverage, and manage visitor access.
- Coordinate conference room setup, facilities logistics, and catering for onsite meetings and customer events.
- Answer Credence phone calls and Facilities inquiry emails and route them appropriately.
Procurement, Supplies & Inventory
- Purchase and manage office supplies, employee snacks, drinks, and pantry items to support daily operations.
- Maintain inventory levels and oversee procurement related to facilities operations.
Financial & Administrative Oversight
- Review and process facilities-related invoices and reconcile office expenses.
- Recommend cost savings and efficiencies for facility related vendors and expenses.
- Maintain accurate administrative records related to facilities operations.
Mail & Deliveries
- Receive all incoming deliveries and ensure outgoing mail is dropped off timely.
- Coordinate timely distribution and notification of mail and packages to departments and individuals.
Event & Facilities Support
- Provide facilities and logistics support for onsite customer, partner, and special events.
- Assist with event setup, vendor coordination, and space readiness.
- Provide occasional facilities support at other Credence offices in the DC/VA area, as needed.
Education, Requirements & Qualifications
- Bachelor’s degree or equivalent experience (Bachelor’s substitution: 4 additional years of relevant experience).
- 2–4 years of experience in office management, facilities operations, or a related role.
- Strong communication skills, vendor management experience, proficiency with Microsoft Office tools, and ability to work independently and collaboratively.
Working Conditions & Physical Requirements
- Fully onsite position: hybrid or remote work is not available.
- Ability to sit or stand for extended periods and lift up to 25 lbs.
- Professional business-casual appearance required.
Additional Information
- May require occasional support at other Credence offices in the DC/VA area.
- Reliable transportation within the DMV area is required.
Work Requirement: Fully onsite (5 days/week)
