The Office Manager is responsible for ensuring that Kira’s day-to-day operations run smoothly and that the office is a place where employees feel supported, productive, and cared for.
This role owns the physical and operational backbone of the company: office logistics, vendor management, workplace experience, and administrative coordination. The Office Manager is a highly trusted operator who anticipates needs, solves problems before they escalate, and brings order and calm to a fast-moving environment.
This is a foundational role. As Kira grows, the Office Manager will help establish the rhythms, systems, and standards that allow the company to scale without friction, while preserving a positive and human-centered workplace experience.
Core Responsibilities1. Office Operations & LogisticsOwn the day-to-day operations of Kira’s office, ensuring everything runs efficiently and reliably.
Manage office supplies, equipment, and shared resources.
Coordinate office moves, expansions, or reconfigurations as needed.
Ensure the office environment is safe, functional, and well-maintained.
Manage relationships with office vendors, including facilities, cleaning, IT support, and building management.
Track contracts, invoices, and renewals related to office operations.
Troubleshoot facilities issues quickly and effectively.
Identify opportunities to improve service quality or reduce costs.
Create a welcoming, organized, and inclusive office experience for employees and visitors.
Support onboarding and offboarding from a workplace and equipment perspective.
Plan and execute in-office events, team gatherings, and company rituals.
Act as a go-to resource for day-to-day employee questions and operational needs.
Provide administrative support to the leadership team as needed.
Help maintain internal documentation, policies, and office-related processes.
Support travel booking, meeting coordination, and other logistical needs.
Partner with People and Finance to ensure smooth operational workflows.
Build repeatable, documented processes for office and workplace operations.
Anticipate how operational needs will change as the company grows.
Recommend tools, systems, or workflows that improve efficiency.
Maintain high standards while operating with flexibility in a startup environment.
3–6+ years of experience in office management, workplace operations, facilities coordination, or administrative roles.
Experience managing a large, high-traffic office environment (e.g., coworking space, multi-floor office, studio, or company HQ).
Strong hospitality mindset with a genuine interest in creating a welcoming, polished, and well-run workplace experience.
Proven ability to manage day-to-day office operations, including supplies, vendors, facilities coordination, and shared spaces.
Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Comfortable operating independently, anticipating needs, and solving problems without heavy direction.
Experience managing multiple vendors and service providers, including scheduling, coordination, and issue resolution.
Strong communication skills and ability to build positive relationships with employees, guests, vendors, and building partners.
Ability to handle sensitive information with discretion and sound judgment.
Comfortable switching between hands-on execution (e.g., office setup, troubleshooting, logistics) and higher-level planning and process improvement.
Ability to lift 30–40 lbs (e.g., moving supplies, office equipment, or boxes).
Ability to be fully on-site in Tribeca, NYC five days per week.
Startup or high-growth company experience.
Experience supporting front desk, guest experience, or hospitality-driven environments.
Experience working with conference room technology and AV systems, including Zoom/Google Meet setups, screens, microphones, cameras, and speakers.
Experience building or improving scalable office systems, routines, and documentation.
Prior experience supporting executive teams or partnering closely with People Ops / HR on workplace needs.
Within 3-6 months:

Salary Range: $80,000 – $110,000 USD base salary, depending on experience and location, plus benefits.
