The Office Manager manages the Red Bull Toronto Office and Front Desk, acting as the primary receptionist while ensuring the office operates in perfect running condition at all times. This role is focused on delivering a premium, on-brand workplace experience that reflects the Red Bull brand for all visitors, stakeholders, and employees.
The Office Manager is proactive, detail-oriented, and continuously seeks opportunities to improve efficiency and organization to create a productive and engaging workplace for both in-office and remote employees. The role supports all areas of the business and works closely with the Administration team, as well as Sales and Marketing, on various initiatives.
Job Description
RECEPTION & WORKPLACE ENVIRONMENT
Ensure the Toronto Office consistently meets Red Bull brand standards and is always maintained in perfect working condition.
Manage the day-to-day operation and coordination of the office environment, including safety and hygiene practices, reception and lobby areas, boardrooms and meeting rooms, common spaces, wellness room, product room, storage areas, and supply rooms.
Maintain a clean, organized, and welcoming reception and lobby area, free of boxes and packages, creating a positive first impression for visitors and employees.
Greet visitors and ensure they are welcomed and introduced to the appropriate team members.
Answer incoming phone calls and respond to external inquiries in a professional and timely manner.
Coordinate and manage all courier services, mail distribution, in-house shredding, printer functionality, and related office services.
Ensure kitchens and hydration stations are fully stocked and operational, including Red Bull inventory, water systems, coffee machines, and weekly grocery purchases.
Maintain an organized and well-stocked office supply room, including stationery, shipping and packing materials, and printer toner.
Manage and maintain the product room, including Red Bull inventory for internal use and consumption.
Ensure all boardrooms and IT equipment, including videoconferencing systems, are fully functional and provide support to employees as needed.
OFFICE OPERATIONS & ADMINISTRATION
Maintain office efficiency by planning, implementing, and improving office systems, processes, and layouts.
Proactively identify opportunities to enhance office operations and bring forward new ideas related to logistics, administration, and workplace efficiency.
Act as the primary point of contact for employee office-related inquiries (e.g., stationery, hardware, workspace needs), ensuring timely resolution while maintaining professional relationships.
Liaise with property management, landlords, and external vendors for repairs, cleaning, security, access fobs, catering, and other services to ensure the office meets Red Bull brand standards.
Manage all vehicle and bicycle parking passes for Toronto-based employees, including coordination with parking vendors.
Coordinate and execute employee business card orders and approved branded stationery items.
Manage the company calendar for office-related events and support the planning of in-house and off-site activities.
Provide administrative support across the business, including filing, organizing, creating templates and documents, and assisting on ad hoc projects.
Schedule meetings and appointments with internal teams, stakeholders, and vendors; prepare and distribute meeting minutes when required.
Maintain and regularly update the Red Bull Canada contact list.
Manage the office budget and ensure all office-related expenses and invoices are submitted to Finance with accurate coding in a timely manner.
PROJECTS, PROGRAMS & CROSS-FUNCTIONAL SUPPORT
Collaborate with employees across all departments in a supportive and cooperative manner, proactively assisting with requests and problem-solving to achieve desired outcomes.
Support and implement office policies and procedures in collaboration with the Executive Assistant and with guidance and approval from HR and Legal.
Play a key role in supporting compliance with Ontario Health & Safety legislation for the Toronto Office, under the direction of HR and in collaboration with the Executive Assistant.
Support HR initiatives and employee programs, including employee engagement activities, onboarding of new hires, and wellness programs.
Plan and coordinate staff celebrations and team-building activities, including logistics, vendor coordination, event bookings, and gift purchasing.
Manage Consumer Affairs and Complaints for the Central Business Unit, ensuring timely and professional resolution.
Support and coordinate office improvement projects of varying scope and timelines under the direction of the Executive Assistant.
Assist in hosting internal and external events held within or outside the Red Bull office, including hospitality coordination, scheduling, permitting, vendor bookings, security, catering, and post-event logistics.
Support the Marketing and Sales teams in the execution of Red Bull events as required.
Qualifications2+ years of experience in a similar role
A demonstrated passion for detail, organization and very solutions oriented
Excellent communication (verbal and written, in both official languages) and interpersonal skills
Strong customer-service, people and organizational skills
Ability to work in a fast-paced environment, multi-task, prioritize, and meet deadlines
Ability to achieve high level of performance as part of a team or working independently
Ability to work with, establish strong working relationships and rapport with staff at all levels of the organization
Proficient with MS Word, Excel, PowerPoint and Outlook
Experience in completing administrative tasks
Experience in identifying and implementing operational efficiencies
Additional InformationThe expected annual base salary range for this position is $57,000 to $63,000. The actual base salary for this position will depend on various factors including, but not limited to, the candidate’s qualifications, skills, experience and work location. This position is also eligible for an annual bonus in accordance with the terms of Red Bull’s bonus plan.
