As we continue to scale, we are looking for an Office Manager to support our growing U.S. operations at our Riviera Beach, Florida office. In this role, you’ll be instrumental in fostering a productive, organized, and welcoming environment for on-site and remote employees at our Florida site as well as two additional locations at our offices in Austin and Midland, TX.
The ideal candidate will possess exceptional interpersonal skills and a dedication to employee-focused office management. In this role, you'll be instrumental in fostering a welcoming and supportive company culture, ensuring a positive and safe office environment for all locations. Responsibilities include overseeing general administrative functions, supporting HR, Operations, IT, and Finance teams, and serving as the primary point of contact for internal and external partners, service vendors, and suppliers.
Responsibilities
People & Culture:
- Foster a welcoming and inclusive office culture.
- Serve as the main point of contact for on-site and remote employees in Florida, Texas, and throughout the U.S.
- Help coordinate onboarding, offboarding, and other HR-related tasks.
- Plan and coordinate team events, happy hours, and company gatherings.
- Share internal updates and announcements across teams.
Office & Facilities Management:
- Manage daily office operations including supplies, vendors, and deliveries.
- Maintain kitchen and common areas to ensure cleanliness and organization.
- Coordinate facility repairs, maintenance, and vendor appointments.
- Manage building access and security systems.
- Support office layout changes and small renovation projects.
- Oversee the company vehicle fleet.
Administrative & Cross-Functional Support:
- Greet visitors and manage incoming and outgoing mail and deliveries.
- Provide general administrative support such as scheduling, data entry, and document preparation.
- Arrange travel and logistics for employees when needed.
- Support Finance with expense tracking, invoice processing, and budget monitoring.
- Help enforce company policies and office procedures.
- Work closely with IT, HR, and Operations to ensure smooth workflows.
- Track and report on spending and transactions to finance and accounting teams.
- Help set the budget for the year and monitor spending.
Requirements
- Associate degree in Office Administration or a related field is required. Bachelor’s degree in Business Administration or a related field is preferred.
- 2 to 4 years of experience in office management or administrative roles.
- Open to travel on quarterly basis to office locations throughout the U.S.
- Experience managing vendor relationships and external service providers.
- Previous experience in a startup or global company is a strong advantage.
- Proficiency with Google Workspace (G-Suite) and Microsoft Office.
- Strong attention to detail and excellent organizational skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks, set priorities, and work independently.
- Self-motivated with a proactive approach to solving problems.
Additional Details
- Work Schedule: Monday to Friday, 8:00 AM to 5:00 PM (On-site in Riviera Beach, FL)
- Physical Requirements:
- Must be able to sit at a desk and use a computer for extended periods.
- Must be able to lift up to 15 pounds occasionally.
