Position Overview:
Cellebrite is seeking a full-time Office Manager to join our team in Germany, working onsite five days a week.
We’re looking for an experienced administrative professional who thrives in a people-focused environment, excels at managing daily operations, and brings a proactive, solution-oriented mindset. Strong communication skills and attention to detail are essential.
In this role, the Office Manager will oversee all administrative functions of the Germany office and ensure smooth day-to-day operations. The position also includes supporting the EMEA HR team and the VP of Sales for Germany. This is a fantastic opportunity for someone eager to grow within the operations space and make a meaningful impact.
Key Responsibilities:
Office Administration & Operations
- Full administrative responsibility for all office needs, including maintenance and appearance
- Coordinate office maintenance and repairs; liaise with building management
- Ensure all office equipment is in good working order
- Maintain and implement office policies and procedures in line with company guidelines and regulations
- Lead and manage office-related projects
- Oversee pantry supplies and ensure restocking as needed
- Ensure appliances (e.g. coffee machines, microwaves, refrigerators) are functioning properly
- Serve as the primary point of contact for the office landlord
Executive & Employee Support
- Provide administrative assistance to the VP Sales, Germany (e.g. booking hotels and flights)
- Track employee absences and coordinate with health and office insurance agencies
- Support and guide employees and managers on office policies and legal compliance
- Address and resolve office-related issues or conflicts to maintain a positive work environment
HR & Employee Experience
- Manage HR documentation, employment records, and benefits for new hires and leavers
- Organize and execute events, social welfare initiatives, and employee experience activities across Germany and the wider EMEA region
IT & Security
- Handle IT-related issues such as server problems and equipment/accessory requests
- Oversee office security systems (e.g. access control, CCTV)
- Manage employee access cards and troubleshoot technical issues
Finance & Compliance
- Manage invoice and expense processes, ensuring accurate and up-to-date financial records
- Ensure compliance with health and safety regulations; conduct safety inspections and implement emergency protocols
Requirements
- Minimum of 3 years’ experience as an Administrative or Office Manager in small to medium-sized organizations,
- or 4 years as a Front Desk Manager or Administrative Assistant in a mid-to-large office (required)
- Basic understanding of German employment laws
- Proven experience working with management-level stakeholders and delivering excellent employee service
- Excellent written and verbal communication skills
- Strong time management and organizational abilities
- Proactive mindset with a focus on process improvement and implementing new ways of working
- Ability to multitask and prioritize effectively in a dynamic environment
- Capable of completing complex administrative tasks with minimal supervision
- Strong interpersonal skills with the ability to positively engage internal and external stakeholders
- Proficient in Microsoft Office applications
- Experience working in a global or multicultural environment
