Summary:
We are currently seeking an Office Manager to join our Workplace Experience team in Burnaby. This is a full-time in-office position for candidates who live in Vancouver area only.
What your team does:
This role reports directly to the Manager, Workplace Experience, and is part of the global Workplace Experience (WX) team. The WX team works closely to manage Clio spaces, design solutions for facility concerns, learn and share knowledge, and create a unique workplace experience for all. In addition, the WX team provides operational support to employee events and People programs, working collaboratively with the People department functions and cross-functional teams.

The Office Manager will oversee all local WX Team responsibilities in addition to assuming management responsibilities of local WX Team Members. We are looking for an entrepreneurial spirit who excels as a connector and mentor. What you’ll work on:

Lead Workplace Experience Team development through feedback, coaching, and mentorship per Clio Management guidelines
-
Lead and manage select Workplace Experience projects
-
Coordinate with the Manager, Workplace Experience with all spending as it relates to office initiatives and track them appropriately
-
Champion relationships with internal stakeholders who collaborate with the Employee and Workplace Experience teams to make Clio a world-class workplace
-
Support logistics involved with workplace renovations, expansions, and new builds
-
Assume or delegate ownership and manage relationships with key vendors
-
Being accountable for site operations including deficiencies, coordinating repairs, and tracking deficiency status

Managing front office operations and reception, ensuring the team is upholding the standards of the Global Workplace Experience processes

Ensuring office spaces are well-stocked, clean, and welcoming, including supporting light cleaning of communal spaces

Providing input for and conducting monthly, quarterly, and yearly budget reviews
-
Leading the planning, coordination, communication, and hosting of internal and external events, including company meetings, monthly mixers, holiday parties, and team socials/on-site

Maintaining workplace policies and procedures to ensure compliance with local and federal regulations

Oversee the physical security of Clio's office, ensuring secured systems are operational, site access badges are managed, and liaising with the IT/Security team as needed

Serving on the H&S Committee as the ‘Employer Representative’ and assisting with H&S investigations as needed

Collecting and analyzing data to measure the effectiveness of Workplace Experience programs and recommend improvements

Implementing and continuously improving processes and standards for consistently high-impact employee and guest experiences

Perform other duties as required
What you bring:

5+ years of experience in office administration or facility coordination within a corporate office environment
-
2+ years of experience leading a team
-
Agility with the comfort to adapt and pivot regularly
-
Strong interpersonal skills and capacity to develop trust

Great attention to detail with a ‘Marie Kondo’ love of organization

A passion for creating unique and collaborative experiences
-
Comfort with new technologies and tools
Bonus points if you have:

Tech industry experience

Experience with Slack, Confluence, Asana, and Google Drive

OHS First Aid Level 2

Food Safety Level 1 certification

The full salary range* for this role is $83,200 to $104,000 to $124,800 CAD.Please note salary bands may differ based on location and local currency. Additionally, benefit offerings may differ depending on the employee's location.
*We aim to hire all candidates between the minimum and the midpoint of the full salary range. We reserve the midpoint to the maximum of the salary band for internal employees who demonstrate sustained high performance and impact at Clio. The final offer amount for this role will be dependent on individual experience and skillset of the candidate. Please note there are a separate set of salary bands for other regions based on local currency.
